Some of the duties you will be responsible for in the position of construction administrative assistant include the preparation of documents, such as contracts. You will have to prepare schedules and reports on various facets of the business and schedule appointments for or with your administrator. In addition to creating documents, you will be responsible for maintaining a filing system and file important documents so that you can have them ready at a moment’s notice. Processing the daily mail and making sure each piece is delivered to the recipient as well as operation of the office equipment is essential. In other words, in this job, you will be a “Jack of all trades” and be knowledgeable about all areas of running an office.
Proficiency in the use of the computer and various types of software is a necessity for getting hired as a construction administrative assistant. You will be working with spreadsheets and use word programs to generate reports, write letters, send emails and prepare presentations for your employer. At the same time, you are required to answer telephones and answer customer’s questions as well as those of the customers that come into the office. You should have an outgoing personality with good interpersonal skills so that you can communicate effectively and professionally with all those people. This job will require you to have strong organizational skills, ability to multi-task and an ability to prioritize.
To qualify for a job as a construction administrative assistant, you should have a diploma or a degree in office administration or in a business related field. You may or may not need to have experience, but most employers require at least two years of experience in an office setting. Depending on the size of the construction company, you may be the only person in the office or you may have others to whom you can delegate tasks. Because of the nature of the construction industry, you may have to work evenings and weekends as part of the job.
The salary you receive in such a position depends on your qualifications and the size of the company. You will receive paid overtime of you are the only construction administrative assistant in the company or time off in lieu of pay if there are other personnel who can cover for you. Some people in this type of job like to build up their time and take extra vacation time. As you demonstrate your value to the company through excellent performance, you will no doubt receive a raise in your salary or be able to apply for more higher paying positions.
