The day-to-day duties of an office services coordinator involve consulting with management regarding the needs for certain pieces of equipment. Knowledge of preparing a budget is essential because you will have to develop an annual budget for purchasing vehicles, equipment and supplies. In the budget process, you will have to keep detailed records and manage the funds so that if an unexpected need arises, you will be able to tell at a glance if you have the funds necessary to make the purchase. Operating a computer, and working with spreadsheets and accounting software is essential in this job.
In corporations that have a fleet of company cars or trucks, you, as the office services coordinator, will have to develop a plan that is cost effective for the company with regard to insuring these vehicles and having them serviced on a regular basis. Employees who drive these vehicles will also need company credit cards for gas and if travel is involved they will need funds to cover their hotels and meals. You will also have to review all the options with respect to buying or leasing vehicles and have a plan for selling and disposing of the vehicles after a specified period of time. Analyzing the current programs to determine if they are effective is another duty because you will have to determine if improvements are needed to make them more cost-effective.
To get a job of officer services coordinator, you do need to demonstrate that you have a thorough knowledge of office principles and practices. Knowledge or state laws and regulations is also necessary so that the company policies comply with those of the state and federal government. Excellent oral and written communication skills are important to this job as you explain procedures to other office personnel, write reports for your manager, help to train new employees and give presentations to your colleagues and others.
You need a combination of education and experience in order to obtain a position as office services coordinator. This includes at least a year experience in the position of building manager, procurement officer for a company or a comparable position that will give you the practical skills you need to perform well in this job. If you have at least three years of course work in a technical college taking courses in property control, budget development, business procurement and other related courses, or graduation from a four-year university degree program, you can obtain this position without experience in the work.
