How you\u2019ll CREATE:Work in a fast-paced team environment supporting the Talent Acquisition Team by coordinating and scheduling candidate interviews, being the front line of communication with all candidates/recruiters, creating employment offers letters and conducting background checks for multiple UMG business units across the US.Candidate Interview SchedulingIncludes in-person interviews, phone interviews, zoom video conferences, and the coordination of travel arrangements when neededBook conference rooms and ensure equipment is properly set up when needed (In-person, MS Teams/Zoom)High level communication with Recruiters, Hiring Managers, and Candidates for alignment of schedulesTimely follow-up to ensure the process moves forwardProvide a high level of customer service and professionalism to the Candidates, Recruiters, and Hiring Managers involved in the interview processManage and track the scheduling process in our applicant tracking system (Jobvite)Employment Offer Letters and Background ChecksPrepare and processes high-volume offer letters, conduct reference/background checks and communicate completion to the appropriate team membersEnsure accuracy, completeness, and compliance across the centralized recruiting functionSend recruiter survey to all Hiring Managers at offer stageCheck Sterling (background check vendor) on a daily basis and take necessary action in order to pass/decline checksAdministrative SupportManage Talent Acquisition Coordinator calendar with an understanding of business priorities for all areas of UMGManage Talent Acquisition Coordinator inbox & prioritize business needs on a timely basisCreate & update all job descriptions for all areas of the businessPost all job openings across careers site and external career sites as requestedAssign all appropriate recruiters to requisitions on a daily basisUpdate and manage people business partner job description bank on an ongoing basisSupport the wider TA team with system implementation testingBook travel and accommodations as neededCreate, manage & send all MSA & LOE documents to external search firmsUpdate all Talent Acquisition documents (spreadsheets, templates, offer letter language)Update MS Teams with all critical TA Documents on a daily basisAttend all internal and external trainings pertaining to recruitment processes to ensure UMG recruiters are meeting market standardsConduct market research to further develop recruiting strategies and materialsConduct executive referral screening calls to potential candidatesComplete expense reports on a weekly basisSupport the broader Talent Acquisition team on additional duties and projects on a needed basis including inquiries and data research pertaining to business needsProactively identify areas of supportHandle additional needs as requestedProfessional interactions with visitors, applicants, and employees, and serve as front line customer service representative and follow up, as appropriateRespond to inquiries and requests from clients and recruiters in a timely fashionMaintain confidential and sensitive informationDuties and responsibilities are subject to change and may include additional responsibilities based on business needs\u00A0Bring your VIBE: Excellent communication (written and verbal) and interpersonal skills, as well as the ability to interface with staff at all levels Professional, responsive interaction with candidates Strong organizational skills and the ability to prioritize deadlines and multi-task in a fast-paced environment Ability to successfully balance work priorities across multiple recruiters & business leaders Highly adaptable to a fluid and changing work environment Must have excellent follow-through skills and the ability to anticipate and address business needs proactively Great team player and finding opportunities to help the team achieve goals and deliverables Uses sound judgment and questions if something is out of the normal standards and processes Prepares reports and tracks progress in closing offers 1 years of administrative experience preferred HRIS experience, Workday, applicant tracking systems a plus Proficient in Microsoft Word, Excel, Outlook, PowerPointUniversal Music Group is an Equal Opportunity EmployerAll UMG employees are currently required to be fully vaccinated against COVID-19 before entering any Company offices unless they have been approved for an exemption or unless prohibited by applicable law.Disclaimer: This job description only provides an overview of job responsibilities that are subject to change.
