University Health Services is recruiting a full time Executive Staff Assistant. Under general supervision from a designated administrator, assist in the planning and coordination of administration and/or operational activities of substantial variety and complexity in a unit or department of considerable size and/or diversification.
Job duties would include:
*University-based tasks
*Manage content and updates for UHS website *Support onboarding including submitting UC requisitions for keys, badges, parking passes. *Sponsor UC Health employees for access to UC systems such as Catalyst *Manage UC work orders and asset utilization *Support and participate in Bearcat Orientations for incoming students *Support immunization compliance program with monitoring and outreach activities. *Responsible for organizing and ordering for office supplies and equipment maintenance.
*General Administrative Support to Executive Director and Business Administrator
*Organize all regular administrative meetings *Keep minutes for Operations and Executive Team meetings, among others. *Support Executive Director communications and scheduling. *Manage team-building and community exercises *Support provider credentialing needs *Maintain departmental contacts, phone list, etc. *Support business continuity plan with Emergency management *Responsible for maintaining on call schedule in Qgenda.
*Immunization Compliance
*Back up for Program coordinator when absent *Serve as liaison between Catalyst and Med+Proctor *Maintain and update program-specific immunization forms *Coordinate immunization compliance with specific program director
Minimum Requirements: Bachelor's degree with one (1) year experience; -OR- Associate's degree with three (3) years’ experience; -OR- five (5) years’ experience.
Experience must be in high-level administrative support.
Additional Qualifications Considered:
*Strong skills in all Microsoft Office products. *Familiar with and adept at Webpage maintenance and updates on COM site. *Strong interpersonal skills as public spokesperson for executive director and frequent interactions with both staff and broader UC community. *Strong organizational skills to manage all UHS meetings, room set-up, meal provision if needed, etc. *Flexible team player who can ably fill in as needed when the unexpected occurs.
