Your impact as an Administrative Assistant:Use Aon AMEX Global Travel Account and the Concur travel booking tool to research travel options and book consultant travelPrepare and submit expense reports in WorkdayEnters travel and entertainment expenses into Aon’s Workday expense system for reimbursement to employees; reconciles receipts with American Express walletSubmits professional time for everyone in Workday in support of client billingsAssist with scheduling and coordinating client and internal meetings for Partners and Associate Partners including conference room reservations and meeting catering ordering/delivery if necessary.Provide back-up assistance to other administrative assistants as applicableSubmit printing requests for client meetings and other needs as necessary; ensure accuracy of printed materials before distributionMaintain a flexible approach and attitude towards assisting othersAct as a key resource for the Partner and Associate Partner team, i.e., independently seek out answers to questions, take initiative, leverage network of resources to solve problemsSelf-directed prioritization of work and projectsSeeks additional responsibilitiesThis list is not all inclusive; other tasks may vary based on business need including:Greeting visitors to the officeOrdering office suppliesMaintaining the Rewards Solutions office area on the 27th floorHandling the ordering and putting away of any food deliveries to the necessary areasSorting mailYou Bring Knowledge and Expertise Required Experience:Minimum 2 years as an Administrative Assistant with proven experience in Outlook calendaring, creating expense reports and booking travel using online booking toolsAdvanced level computer literacy in Microsoft Office Suite (Excel, PowerPoint, Word) and other programs as applicableExcellent customer service skills and exceptional attention to detailCommunicate effectively and professionallyPositive attitude while working with a group of divergent personalities in a demanding and deadline-oriented environment.Demonstrates strong organizational and management skillsMust be highly accurate with details while also multi-taskingModels professional appearance and demeanor in a business casual environmentDemonstrates discretion on highly confidential mattersPreferred Experience:SalesforceWorkdayEducation:High School Diploma or equivalent required, Associates or Bachelor’s degree a plusWe offer you A competitive total rewards package, continuing education & training, and tremendous potential with a growing worldwide organization.
