SUMMARY

This position will assist with the new Preparatory program for the Air Force 350

th

Special Warfare Training Group (SWTG). The successful candidate will perform day to day office duties, coordinate and communicate with active duty leadership and program managers, have a good working knowledge of accounts receivables, copying, scanning, faxing and be computer efficient.

ESSENTIAL DUTIES & RESPONSIBILITIES

The Essential Duties and Responsibilities are intended to present a descriptive list of the range of duties performed for this position, and are

not

intended to reflect all duties performed within the job.

Provide clerical and administrative support to facilitate daily coordination and activity with other administrative assistants.

Provide general office support to facilitate contract performance to include, but not limited to, completing data calls, answering phone calls, drafting business memos, providing timely correspondence, and requesting office materials.

Provide data input to the COR, Student Control, Personnel Support and other Air Force administrative departments to facilitate the timely execution of all student transfers and orders.

In/Out Process students, coordinate with Headquarters administrative offices, obtain and complete real time student accountability.

Maintain daily student count, track missed training events, track waiver student status, annotate student actions, and keep all staff informed of any changes that occur throughout the day.

Coordinate travel and travel orders for SW Prep Airman. Create, modify, and input student and course related data for tracking into several different databases while maintaining current information in each respective program (Navigator, Horizon, Admin Roster, Instructor Roster, Coaches/Instructor Event Rosters etc.)

Maintain calendar, support meetings, and customer services duties.

Prepare and distribute staff meeting minutes. 

Manage/ensure unit publications and forms are formatted, coordinated, and made available to customers.

In/Out Process new hires and work directly with supporting contract company main offices.

Maintain and update recall roster, Power Point presentations and official correspondence for the program manager, active duty personnel and section leads.

Coordinate special and official functions (student graduations).

Be proficient with the TASS system and the Common Access Card (CAC) application process for new hires.

Prepare special and periodic reports that involve compiling data from a number of sources.

Read, understand, follow and explain policy and procedures.

Effectively communicate in oral and written form.

Establish effective working relationships with management, employees, employee representatives and the public.

Compose correspondence and routine reports.

Proofread and review documents for accuracy, correctness, and completeness.

QUALIFICATIONS - EXPERIENCE, EDUCATION AND CERTIFICATION

Required (Minimum) Qualifications

High School Diploma or GED

Knowledge, Skills and Abilities

Proficient understanding and working knowledge of computer, e-mail, voice mail, and telephone texts to perform duties. Additionally, be proficient with Microsoft Word©, Excel ©, and PowerPoint ©. 

All Contractors having knowledge of facilities, budget, transportation, and procurement functions shall sign a non-discloser statement.

Considerable knowledge of office practice, procedures and equipment

Considerable knowledge of business English, spelling, keyboarding and arithmetic

Ability to do arithmetic with speed and accuracy and to perform filing and other clerical work

Ability to maintain an effective working relationship

Preferred

Bachelor’s Degree in related field

Associate’s Degree in related field

3 - 5 years administrative support experience

WORK ENVIRONMENT

Work Environment characteristics described here are representative of those that must be borne by an employee to successfully perform the essential functions of this job. 

Job is performed in an office setting with exposure to computer screens and requires extensive use of a computer, keyboard, mouse and multi-line telephone system. The work described herein is primarily a modern office setting.

SUPERVISORY RESPONSIBILITIES

No supervisory responsibilities.

ADDITIONAL QUALIFYING FACTORS

As a condition of employment, may be required to pass a pre-employment drug screening, as well as have acceptable reference and background check results to obtain access to military base. Must have reliable transportation to/from work a necessity and must be able to obtain access to military installations.
