Beveridge & Diamond seeks a Professional Development Administrative Assistant to provide support for the Professional Development Team.
The Professional Development Administrative Assistant provides support for the Professional Development Team and delivers impeccable and sophisticated professional services while learning a variety of administrative support duties.
Essential Functions and Responsibilities
Send written acknowledgement for unsolicited resumes as determined by managers.
Maintain LawCruit database for all applicants.
Maintain recruiting files.
Prepare letters, surveys, charts, statistics, and other materials for legal and support staff candidates.
Assist with Continuing Legal Education (CLE) tasks as needed.
Enter data in CE Manager and assist with tasks as needed.
Coordinate and prepare orientation schedules for new employees.
Coordinate calendaring/scheduling of various meetings as required by team.
In collaboration with the CAO Administrative Assistant, prepare diversity reports for Firm and clients as needed.
Complete and submit monthly Firm credit card reconciliation for all team members.
Assist Professional Development Team with various other duties as assigned.
Recruiting Tasks
Fall Recruiting
Assist Attorney Recruitment Manager with job fairs and on-campus interview (OCI) process.
Assist with the preparation of materials provided to law schools and applicants, Firm resumes, questionnaires, statistical reports, etc., specific to the D.C. office. Update materials as needed.
Organize OCI interviewing materials (i.e., notebooks, student resumes, OCI files).
Assist in making hotel and travel arrangements for OCI as necessary.
Assist with communications to students and lateral attorneys regarding scheduling interview dates, schedule same.
Prepare and maintain files for all candidates.
Assist with reimbursement of candidates’ travel expenses.
Coordinate and schedule student and lateral attorney interviews with Firm attorneys.
Prepare interview materials for each interview and distribute same in hard copy and electronically.
Record interview appointments in LawCruit for evaluation distribution.
Prepare interview evaluation summaries and distribute as necessary.
Coordinate and schedule Recruiting Committee (RC) meetings.
Prepare materials for RC meetings.
Assist with other duties as assigned.
Summer Associate Program
Assist in planning and implementation of all aspects of the Summer Program, including pre-arrival plans, assignments, and departures. Participate in social events when space permits.
Assist Recruitment Manager with onboarding schedules.
Assist with the preparation of administrative documents for summer program, including assignment logs.
Assist Recruitment Manager with summer associate events and execution.
Assist with assigning projects to summer associates when need arises.
Assist with other duties as assigned.
Formal Education
Bachelor’s Degree preferred.
Knowledge & Experience
Entry level position.
Strong attention to detail.
Excellent communication, analytical and organizational skills.
Ability to work both independently and within a team.
Client-focused and a personable, outgoing demeanor.
Ability to learn new applications and platforms.
Maintain and manage confidential information.
Willingness to work overtime during busy period as needed.
Ability to retrieve and distribute print volumes, push and pull packages and books weighing up to 20 pounds, and ability to retrieve objects from shelves of up to 8 feet high and replace same.
Technical Skills
Proficiency in WebEx, Zoom, Microsoft Outlook, Word, Excel and PowerPoint a plus.
