Job Summary and Scope
Coordinate with providers, directors, and other leadership to build and/or modify clinic schedule templates within the Cerner System. Organize, coordinate and oversee a variety of administrative operations, training and fiscal duties. Train Ambulatory Clinic frontline staff on customer service. Ensure adherence to organizational and departmental policies and procedures. Bariatric Insurance Coordinator - develop and maintain Bariatric insurance matrix. No patient care assignment. Be a role model for all frontline staff. Lead for Clinic Patient Access Representatives.
Essential Functions:
Maintain established hospital as well as departmental policies and procedures, objectives, and quality assurance programs
Enhance professional growth and development through participation in educational programs, reading current literature, attending in-services, meetings and workshops.
Report potential and actual patient safety, concerns, medical errors and or near misses in a timely manner thru the chain of command and document within the PSN system.
Maintain a cooperative relationship among health care teams and resolve patient problems and needs by utilizing multidisciplinary team strategies.
Active participation in hospital strategic initiatives such as quality improvement and monitoring TJC compliance.
Responsible for the accuracy of the Master Schedule, bumps, and cancellations.
Completes master schedule functions, including; but not limited to: building, modifying, or deleting provider schedules.
Work closely with providers to assure adequate templates are in place, and complete all additions, removals, and/or updating all provider bumps and templates.
Develop and maintain Bariatric Service Insurance Matrix for patient care coordination.
Disposition Bariatric patient referrals in the AdHoc Referral Management System (ARMS). Work with community bariatric providers and nursing coordinators for referral management.
Support statistical data collection and reporting, as needed. Perform various administrative functions such as monitoring expenditures and preparing reports and correspondence; participate in a variety of research projects to develop service plans; propose changes to program policies and procedures.
Greets and communicates with all patients that enter ambulatory clinics providing customer service
Have knowledge of payer Contracts and Guidelines; Knowledge of Authorization and appeal process.
Continuously reviews processes for operational improvement and efficiencies; motivate staff to succeed and improve
Proactively coordinate and communicate with your Director /Manager and various departments/customers (both internal and external) to coordinate services, resolve operational issues, and improve quality of patient care
Communicate with IT personnel at UNMH, as well as SRMC to assure all providers have been uploaded.
Works closely with credentialing personnel at both UNMH and SRMC to ensure credentialing has been approved by appropriate parties.
Operates and maintains computers, copy/facsimile machinery.
Demonstrates high level of professionalism and privacy for all patients in clinic.

Required Qualifications
Ability to utilize basic office equipment i.e. computer, phone, copier
Strong interpersonal communication skills and active listening skills
Ability to work well under pressure with minimal supervision
Knowledge of principles and processes for providing customer and personal services. This includes customer needs assessment, meeting quality standards for services, and evaluation of customer satisfaction
Knowledge of administrative and clerical procedures and systems such as windows, excel, etc.
Effective written and verbal communication skills
Education/Experience
Education:
Associates degree or High School Diploma (or Equivalent) and (3) years related work experience.
Work Experience:
Two (2) year of applicable experience in a Medical Office / practice
Preferred Education / Experience Requirements:
Two (2) years in a Medical Office as a Master Scheduler, Bachelor’s degree in related field, provider scheduling on a large scale
Conditions of Employment
Must pass a pre-employment criminal background check, reference checks and a post offer drug screen.
Must be employment eligible as verified by the U.S. Dept. of Health and Human Services Office of Inspector General (OIG) and the Government Services Administration (GSA).
