Executive Assistant – for Public SectorCome work with Aon's inspiring Public Sector Partnership team who is focused exclusively on serving the outstanding needs of governments to build innovative solutions for federal, state and local agencies and other governmental entities!Your impact as an Executive Assistant - Public SectorYou will work with the diverse and geographically dispersed team within Aon’s Public-Sector Partnership (PSP), we are passionate about governmental entities and the Aon solutions that meet their mission needs.For over 40 years, Aon has supported public entities globally including many federal agencies, nearly every state, over a hundred large municipal governments, and dozens of the largest transportation and public utility authorities across the US! Since most of Aon is commercially focused, project teams generally lack a familiarity and consistency with government procurement practices and rules. It is Public-Sector Partnership's role to support the broader Aon with their Public-Sector pursuits within the US, Canada, UK and Latin America. DUTIES AND RESPONSIBILITIES:The Executive Assistant ascertains the nature of incoming phone calls, accurately records messages, and transfers calls as vital; works with high level contacts using discretion and initiative.Proficiently and seamlessly owns the daily calendars for various leaders within the PSP core team including adjusting the schedule to accommodate real time priorities to meet the critical needs of internal and external stakeholders.Schedules and coordinates meetings, conference calls, videoconferences, and other events. Informs attendees of function dates and times, reserves meeting space, sends pre-reads, order catering, and provides hospitality services as needed in these meetings.Handle all domestic and international travel arrangements for the team including making travel arrangements, restaurant reservations, managing logistics and submitting expenses.Execute excellent communication skills in order to draft, edit and maintain electronic, written and verbal communications and correspondence.Plan and implement logistics for internal and external events, as required.Under minimal direction, prioritize actions and proactively anticipate the needs and flow of the team/office to ensure a smooth operating rhythm.Communicate a wide variety of information to multiple audiences exercising judgment to reflect the organization’s needs and Aon’s company policies.Ensure adequate office supplies and process purchase requests for additional office supplies as needed.Active approval management support – including but not limited to Coupa, IT, Workday, Travel.Act as a key resource, independently seeks out answers to questions, takes initiative, leverages network of resources to solve problems and proactively cascade knowledge.Operates with good judgment; solves, reports or raises concerns as appropriate, partnering with other members of the team to best address problems or hurdles.Assist with on-boarding of new hires in the GSM Business Unit; submit IT service tickets and follow up on equipment delivery.Other duties as assigned. You Bring Knowledge and Expertise Required Experience:Minimum 5 years of demonstrated experience.Proficiency with Microsoft Office, sophisticated PowerPoint skills strongly preferred.High energy, positive attitude, willingness to focus and chip in to ensure success.Easily embraces change, flexible, adapts well to changing priorities.Poise, confidence, and maturity to engage with all levels of management across the firm.Highly organized with ability to prioritize and work on multiple projects at one time.Able to prioritize daily workload, be proactive, and respond to requests promptly.Detailed oriented.Excellent written and verbal communication skills.Self-directed and able to anticipate team needs.Strong interpersonal skills.Streamlines processes—innovation outcome focused, and results driven.Able to excel in a fast paced, diligent environment.
