The Executive Administrative Assistant's

main role will be to provide support in all areas of the Executive Leadership team’s business life. These functions include but are not limited to administrative tasks such as scheduling meetings, travel arrangements, preparing correspondence, receiving visitors, handling information requests and communicating with clients and outside business partners. They will often coordinate workflow and assist with prioritization for the Executive Vice President of Sales, as well as supplementary assistance for other Executive Leadership team members, when necessary. They will represent Quantum Health’s leadership in a professional and positive manner both inside and outside the organization. In most cases, the Executive Administrative Assistant will handle confidential information which requires discretion and diplomacy.

What you’ll do

Provide general administrative support, including managing the calendar, taking telephone messages, following-up on general information inquiries, and ensuring that the executive leader has everything needed to work without unnecessary interruption and is prepared for all appointments on their calendar.

Make travel arrangements including airfare, hotel and rental car accommodations. Coordinate outside commitments, including client visits, dinners, and industry events. Complete monthly expense reports. Order and maintain a supply of QH related items (swag) for meetings/events. Plan and coordinate logistics for team meetings.

Monitor voice mail and ensure appropriate and timely responses. Respond to routine matters directly and refer appropriate issues to the executive.

Sort incoming correspondence, organizing and prioritizing. Prepare responses within scope of knowledge and authority for the signature of the partner.

Determine which meetings have flexibility to be moved/which have the greatest importance. Review Executive’s workload, assuming responsibility for tasks within the knowledge and scope of administrative authority. Prioritize tasks for the partner and call to their attention critical or time-sensitive issues.

Communicates regularly with clients and others using telephone, client systems, and email regarding status of management issues and client relations. Some contacts may be with high level executives and managers of client companies as well as third party representatives. Escalate issues as appropriate.

May draft documents including letters, summaries, responses, and general correspondence. Ensure accuracy of content and formatting.

Monitor management reports and client report cards summarize workflow trends and resource allocation. Ensure partner has data as needed for analysis.

What you’ll bring

3-5 years of experience in an administrative role

Superior communication / presentation skills, both written and verbal

Strong organizational skills

Ability to coordinate site visits – including food, materials

Support and manage client events

Ability to multi-task and work in a fast-paced environment

Time Management skills

Expertise with Microsoft office suite (especially PPT, Excel, and Outlook)

Attention to detail

Ability to perform and supervise implementation of complex tasks

Ability to handle confidential and sensitive information in a discreet manner

Strong administrative/technical skills; Comfort working on a PC using Microsoft Office (Outlook, Word, Excel, PowerPoint), IM/video conferencing (Teams & Zoom), and telephones efficiently.
