Basic Function

Performs full secretarial and administrative duties for business attorneys and a variety of word processing functions to produce documents for attorneys according to established policies and procedures.  The ideal candidate will have a minimum of 3 years of legal secretary experience.  Candidate must have a great attitude, will be a team player, have a proactive work ethic, excellent oral and written communication skills, will be proficient in proof-reading and data entry, detail oriented and have the ability to work well under pressure.  Candidate should be familiar with a broad range of transactional practices.  This is a remote/in-person hybrid position.

Essential Duties will Include

Perform secretarial functions associated with firm administrative tasks, including processing new client/matter requests, conflict checks, client bills.

Word processing of drafts, revisions and final documents for client-related matters, including correspondence, memoranda, bills, timesheets and project work, as needed. This includes proofreading and redlining work for accuracy – copy, format, etc.

Copies, distributes, sends (electronically and/or via mail, courier or express service), files and otherwise handles completed work preferred.

Maintains physical and electronic files, contacts, and maintains dockets of cases for attorneys.

Coordinates meetings and appointments.  Handles incoming and outgoing mail and filing.  Registers attorneys for CLE and maintains applicable attorney records.

Performs a high volume of word processing tasks using software that includes, but is not limited to: Word, Excel, PowerPoint, Kofax Power PDF, CompareDocs, CompuLaw Vision, ContactEase, and iManage Work (document management system); work may arrive in hard copy, electronic, or digital dictation formats.

Scan text documents and format using styles; use Innova templates and numbering styles to clean up electronically transmitted files and documents.

Create, edit and format Word documents following existing firm standards; use of automatic feature applications (table of contents, table of authorities, cross-referencing, automatic numbering and headings via styles, etc.).

Create, edit and format Excel spreadsheets and PowerPoint presentations.

Assist legal assistants with docketing legal deadlines using CompuLaw Vision.

Software maintenance tasks as assigned working closely with Applications Analyst/Trainer.

Uphold firm professional document standards and consistency throughout document production.

Assist IT Department with testing and user input regarding new software or software adjustments/enhancements.

Help staff and attorneys with troubleshooting and solving document issues in person and over Zoom.

Knowledge/Experience

Should possess working knowledge of general office procedures. Prior experience supporting multiple attorneys is required.

Skills

Advanced word processing/computer skills utilizing a variety of software programs including, but not limited to, MS Word, Excel, Outlook and PowerPoint, Kofax PowerPDF or Adobe Acrobat, and iManage or other document management system. Must possess excellent written and oral communication skills, including grammar, spelling and punctuation. Strong phone etiquette, attention to detail and follow-through skills are required. Must be knowledgeable regarding legal filing and record-keeping practices, as relevant to the specific practice. Must be highly organized and able to successfully multi-task and meet set deadlines. Strong customer service, ability to be flexible and work effectively as part of a team is required.
