Schwabe Williamson & Wyatt has an opening for a full-time Office Assistant in the Bend office. This position will be in-person in the office, proof of COVID-19 vaccination is required.
The Office Assistant must deliver excellent internal and external client service in a pleasant and professional manner. This position will provide support to the Bend office. In addition, this position requires the ability to learn and utilize computer software, follow instructions carefully and accept a full variety of projects, work on multiple projects simultaneously, and meet deadlines as assigned.
Essential Functions:
Responsible for organizing files, creating pleading indexes, closing files and working with the records department
Contact entry into InterAction
Assistance with client holiday events and gifts, and coordination of office events such as monthly lunches
Drafting correspondence shells
Process invoices for payment and check requests
Travel arrangements
Prepare expense reimbursements
Project support under legal assistant or paralegal supervision
Greeting clients and visitors
Performs daily housekeeping tasks such as loading and unloading the dishwasher, brewing coffee, cleaning the conference rooms, stocking the refrigerator, and running errands
Electronic file management, including saving emails to Filesite
Transcription
Scanning incoming mail and dispersing to the legal assistants and paralegals or saving to Filesite
Copy and scanning projects
Assist with large mailings
Prepare UPS/FEDEX slips for overnight delivery
Responsible for conference room set-up, including AV equipment, lunch orders and clean-up following
Maintain schedules for Conference Rooms and visiting attorney offices; send daily emails to the office with these schedules
Responsible for scheduling client meetings
Maintain supply room

Education and Experience
High School diploma or GED required and one year of office experience. Any satisfactory combination of experience and education will be considered.
Experience working in a law firm is a plus.
