Position Overview

Schwabe, Williamson & Wyatt is seeking a full-time Office Assistant in the Portland office. This individual will ‎provide support to the legal assistants, paralegals, and lawyers in the Business Department. This position will be in-person in the office. ‎

The Office Assistant must deliver excellent internal and external client service in a pleasant and professional manner. In addition, this position requires the ability to learn and utilize computer software, follow instructions carefully ‎and accept a full variety of projects, work on multiple projects simultaneously, and meet ‎deadlines as assigned.

Essential Functions:

Responsible for organizing files, creating pleading indexes, closing files and working with the records department.

Contact entry into Interaction

Drafting correspondence shells

Data entry into Estate Works

Witness at estate planning client signing meetings

Process invoices for payment and check requests

Travel arrangements

Prepare expense reimbursements

Project support under legal assistant or paralegal supervision

Errands such as delivery of documents to opposing counsel

Electronic file management, including saving emails to Filesite

Transcription

Scanning incoming mail and dispersing to the legal assistants or saving to Filesite

Copy and scanning projects

Assist with mailing large mailings

Prepare UPS/FEDEX slips for overnight delivery

Back-up reception

Competencies:

Ability to manage multiple projects, activities and tasks simultaneously

High level of organizational skills

Highly developed verbal and written communications

Excellent time management skills and can make decisions quickly

Education and Experience

A high school diploma (or equivalent) is required. Two years of work experience in an office setting is preferred.

Preferred Computer Skills

Microsoft Office suite, including Word, Excel, Outlook and PowerPoint
