Job Description:
What is the role
The incumbent will provide fully comprehensive administrative support to the SVP Crude who is based in the US.
Accountabilities
Travel booking including, flights, accommodation, cars and any visas that may be required, coordinate arrangements internationally, ensuring all required connections, visas, itineraries and travel documents are provided
Scheduling meetings
arrange internal/external meetings/teleconferences, including researching dates for events, coordinating participation, booking rooms
Set-up of Video Conferencing, Audio Conferencing and Web Conferences.
Process expenses and track accordingly
Set up and maintain paper based and electronic filing systems and contact lists.
Handle arrangements for external/internal visitors to ensure they have positive experience when visiting offices.
Ad hoc admin tasks, for example, couriering of documents, replies to external letters, arranging hospitality, car bookings, managing office supplies, photocopying, and faxing
Requirements:
Must have legal authorization to work in the US on a full-time basis for anyone other than current employer.
HS Diploma or equivalent relevant experience.
3 or more years of professional work experience.
Sound administrative and organizational skills
Adopt a learner mindset and apply to all aspects of your role
Excellent English language skills, both written and verbal.
Excellent interpersonal skills
Communicate and establish positive relationships at all levels
Actively network with your peers, the wider RDS and externally where appropriate
Actively seek and provide constructive feedback
Provide support for the T&S Admin pool e.g. for leave, illness and event planning
Ability to work independently, set priorities and manage workload whilst adhering to deadlines.
Able to prioritize tasks, managing conflicts efficiently
Maintain resilience under pressure
Display strong digital literacy
Proficient in the MS Office Products
Familiar with various Shell online systems
Act as SharePoint FSO if required and ensure your skills are at level to do so efficiently
Continuously seek to upskill
Act as access focal point for your section of the secure floor/s
Be a strong advocate for the Group’s aims on IRM, D&I, HSSE and compliance
Ensure you have an MYR and EYR scheduled and engage enthusiastically in the process.
Stay informed with an internal and external mindset
