Aon is looking for an Executive Assistant!As part of an industry-leading team, you will help empower results for our clients by delivering innovative and effective solutions supporting Health in the Woodlands or Houston, TX!Your impact as an Executive AssistantJob Responsibilities:Support of executive‑level leader, defined as executives who are members of the Senior Leadership TeamAdministrative activities include email management, time recording, full calendar management, research, or other special projectsCoordinates complex meeting logistics on or off‑site; may include, but not limited to, budgeting, travel, room reservations, meeting room logistics and materials, and cateringActively participates in leadership meetings for follow‑ups and note taking when applicableDistributes mailAnswers phones/takes messages as applicable, sometimes at receptionBuild and maintain Distribution Groups Schedules, and coordinates meetings, via Webex Teams or in person, securing room reservations and food ordering/delivery, if necessaryDaily interaction with internal and external executive leaders as well as their AAsCoordinates projects and works independently; seeks out answers to questions, takes initiative, leverages network of resources to solve problemsHelps others understand or attain support with technology or facility requirementsProvides backup assistance to other AAs as applicable Ability to compose materials from rough notes or independent knowledge of circumstancesMaintains/updates/coordinates categories and data within databases, OneNote, or SharePointPrepares and produces presentations and correspondence and related materials, including editing for grammar, punctuation, and transparencySubmits printing requests for meetings and other needs as necessary; ensures accuracy of printed materials before distributionMaintains a flexible approach and demeanor toward assisting others; leads by example, coaches, and mentors AAs seeking to move to the Executive Assistant levelDevelops and maintains a sound knowledge of internal network and resourcesAttends and participates in all AOM focused workshops, seminars, and/or town hallsAttends business town halls Expert‑level knowledge of Aon brand identityProvides tremendous leadership and effectively partners with all colleaguesActs as liaison between the executive and their colleagues, clients, and other partnersSeeks additional responsibilitiesActs as a key resource for the team (i.e., independently seeks out answers, takes initiative, leverages network of resources to solve problems, and proactively cascades knowledge to peer network)Strategic, solves problems, and establishes procedures that result in process improvementsRecords time accurately and submits according to corporate guidelines Self‑directed prioritization of work and projects; demonstrates measurable progress through open communication to leaders and team members consistently and with the highest quality Acts as a subject matter expert for internal tools and resourcesBuild and maintain SharePoint sites/OneDrive, OneNoteAssists AOMs with special workstreams/goalsDemonstrates leadership by contributing agenda topics and openly participating in meetings or other forumsThis list is not all‑inclusive; other tasks may vary based on business needYou Bring Knowledge and ExpertiseRequired Experience:Minimum of 6 years of relevant experience in executive-level supportAdvanced level computer literacy in Microsoft Office Suite and other programs as applicableTyping speed of 55 wpm with proven accuracyExcellent customer service skills and exceptional attention to detailSuperior writing skills—grammar, punctuation, spelling and proofreadingSuperior verbal and written communication skillsDemonstrates strong interpersonal and management skillsModels professional appearance and demeanor in a business environment; dress for the situationA wide degree of creativity and latitude is expectedSuggests approaches for resolving problemsMaintains a high level of confidentialitySelf-motivated, teammate with ability to work independently under minimal directionAbility to optimally interact with clients & team members, maintaining professionalism at all timesAbility to work in a high-paced, demanding environmentSelf-directed prioritization of work and projects; demonstrate measurable progress through open communication to leaders and team members consistently and with the highest qualityEducation:High School Diploma or equivalent, Associates or Bachelor degree a plusWe offer youA competitive total rewards package, continuing education & training, and tremendous potential with a growing worldwide organization.Our Colleague Experience:From helping clients gain access to capital after natural disasters, to creating access to health care and retirement for millions, Aon colleagues empower results for our clients, communities, and each other every day.
