About The Role
This position coordinates administrative duties and responsibilities to support the Employment, Labor and Retirement (ELR) Program’s operations. A program coordinator independently performs general office and program support, event organization, travel, purchasing, expense tracking, data entry and retrieval, web content updates and web page design, and file tracking and management with minimal supervision. Responsibilities may also include supporting budget and grant administration and expense tracking. The program coordinator reports to the director of the ELR Program, while also handling assigned functions from other professional project staff in the program.
What You'll Do
Perform a variety of administrative management tasks for the program, including writing, editing, creating graphics, formatting, posting to the web and distributing various publications.
Lead meeting planning for the program, including sending invitations, correspondence with NCSL members, meeting logistics, site planning, travel arrangements, communication with participants, virtual and on-site support functions, and expense-report processing.
Update and coordinate the creation of content on NCSL.org, including proactive communication with office colleagues
Work collaboratively and productively across NCSL and with program colleagues to provide exemplary member service, including managing inbound and outbound communications with members.
Act as a liaison for members, vendors, and internal and external individuals and organizations.
Promote and support in-person and online meetings and webinars, including providing technical and logistical support for Zoom and/or Microsoft Teams meetings.
Help compile budget and expense documents and assist in the preparation of proposals and reports.
Coordinate ELR Program’s hiring process for staff and interns, including scheduling interviews and administering skills assessments.
Train new and existing staff on organizational processes and certain computer applications.
Compile and draft meeting summaries and program or project status reports.
Attend internal meetings regularly, including the weekly Communications meeting.
Perform other responsibilities as needed.
Work Environment
This position is mostly performed in an office environment with prolonged periods of sitting at a desk and working on a computer. The incumbent will utilize standard office equipment such as filing cabinets, copy machines, laptops, printers, scanners, and smartphones. Travel by airplane including overnights and weekends required. Reasonable accommodations may be made to enable individuals with disabilities to perform essential functions.
Qualifications For Success
High school diploma (or its equivalent) plus five years of progressively more complex administrative experience.
Proficiency in computer-based clerical duties, including Microsoft Office and other software programs; ability to learn new procedures and applications.
Expertise in communicating clearly and professionally in writing and orally and dealing discretely with sensitive information.
Experience working both independently and collaboratively as circumstances dictate, including ability to work across departments and identify the appropriate contacts to achieve program goals and objectives.
Proficiency with simultaneously managing multiple tasks and deadlines.
Competency working under deadline pressure and adapting to changes in workloads.
Superior customer service and organizational skills with strong attention to detail.
Creative thinking and problem-solving skills.
Ability to travel by air up to six times per year, generally for 1-3 nights.
