Job Description:

This global role will be based in any Shell office in India. Working hours are flexible due to the business supported .

Where you fit

Our new end-to-end Chemicals & Products organisation is set up to deliver on our strategy of growing our Chemicals business and adapting our Refining footprint to include Energy and Chemicals parks, working alongside our chemicals-only production sites.

In this role, you will be responsible for supporting the consistent execution of Group IM requirements for the Chemicals segment (Business) of Downstream Chemicals Products globally, under the direction of the C P IM Business Lead and DS Global IM Compliance Manager (IMCM).

What’s the role?

As the Information & Records Manager you will be required to work across all levels of the DS C P businesses globally. This position facilitates DS C P compliance with Group, business, regulatory, tax and legal requirements for Information Management. Collaboration with your counterpart in the Products side of the organization is a key part of this role.

Further roles and responsibilities:

Initial point of contact for Secondary IMCFPs, Data Privacy Focal Points (FPs), and Information Management (IM) Collection Owners for any questions or issues related to information and records management compliance in Chemicals.

Identify individuals requiring IM training and provide Chemicals Products-specific IM training and on-going, ad hoc support to Focal Points and Collection Owners in identifying records, managing their information collections, and executing related IM activities.

Liaise with the DS Global IMCM, the IM Business Lead (IMBL) for the Chemicals Products CoB and the Chemicals Primary IMCFP to ensure alignment with Group-level IM guidance and related business goals.

Understand and apply the Group Retention Schedule and Business/Function File Plans and advise FPs and Collection Owners on the selection and maintenance of File plan(s) relevant to business information to ensure they are fit for purpose and aligned with best practices.

Work with the Business in organizational changes (e.g., mergers, acquisitions, divestments, reorganizations, new venture set up) to assess impact on Information and Records and provide IM compliance guidance.

Ensure that the Business have effective operational IM processes and controls in place to comply with the IM Standard and Guidelines, and ensure these processes are effectively incorporated into the relevant Business Management Systems.

Advise the Business on Information and Records Management risks, goals, and requirements, escalating IM compliance issues requiring attention by the IMBL or the DS IMCM.

Provide business-specific training and guidance and share best practices as the Records in M365 and Information in Applications subject matter expert (SME).

Support the DS IMCM and Business IT as needed to ensure compliant decommissioning of IT systems that contain Records.

Cascade IM information / changes to impacted Secondary IM CFPs, FPs, and Collection Owners.

Work with Records Management (RM) Service Providers and Vendors (e.g., Shell Real Estate, Iron Mountain) and others as needed to support Business needs for managing physical records.

Respond to Preservation Notices and Material Collection requests impacting the Business, communicating with internal paralegals, attorneys and external legal counsel as needed

What we need from you

Graduate of any bachelor’s degree with Masters’ degree is preferred.

Minimum of 12 years of demonstrated experience in Information and Records Management including e-Discovery, electronic & physical Records Management, Information Risk Management, Data Privacy and information, document and records management tools (e.g. M365, Shared Mailboxes).

With professional qualification such as CIP – Certified Information Professional, CRM – Certified Records Manager, or commensurate practical experience is a plus.

Excellent verbal and written communication skills.

Good commercial and business acumen.

Good stakeholder management.

Willing to work in global hours or flexible shift timings.
