Administrative Assistant duties and responsibilities include providing administrative support to ensure efficient operation of the office. Supports Hematology Finance Leadership Team through a variety of tasks related to organization and communication.

Responsible for confidential and time sensitive material. Familiar with a variety of BMS concepts, practices, and procedures. Ability to effectively communicate via phone and email ensuring that all Administrative Assistant duties are completed accurately and delivered with high quality and in a timely manner. May direct and lead the work of others. Build a network of BMS administrative support to effectively accomplish cross functional projects. Rely on experience and judgment to plan and accomplish goals and a wide degree of creativity and latitude is expected. Reports directly to the VP of Hematology Finance.

Responsibilities:

· Schedule meetings and appointments across multiple functions

· Liaises with internal stakeholders to understand and deliver to requirements

· Provides personal assistant support to senior leaders (e.g. travel, calendar, expenses)

· Organize and execute (logistics and planning) small internal meetings for Hematology Finance

· Assist in the preparation and coordination of special meetings & events

· Submit and reconcile expense reports (T&E)

· Provide general support to visitors

· Research and creates presentations

· Navigate BMS systems, processes, generate reports

· Handle multiple projects simultaneously

· Prepare and monitor departmental budget & expense reports

· Develop administrative staff by providing information, educational opportunities and experiential growth opportunities

· Handle sensitive information in a confidential manner

· Provides support for new team members to on-board and integrate as required

· Maintain detailed knowledge of current travel & expense (T&E), Contracts or Procurement, Purchase Order (PO), policies and processes for the team and address all initial queries by team members about compliance

Requirements:

· Proven admin or assistant experience

· Knowledge of office management systems and procedures

· Excellent time management skills and ability to multi-task and prioritize work

· Attention to detail and problem solving skills

· Excellent written and verbal communication skills

· Strong organizational and planning skills

· Proficient in MS Office

· At least 7 years of experience in the field or in a related area
