Position Overview
Schwabe, Williamson & Wyatt has an opening for a full-time File Clerk/Receptionist in the Portland office. File Clerk duties include inserting paperwork into existing files, keeping correspondence current and in chronological order, organizing and indexing pleadings, creating inserts for other materials to be filed, and searching for missing files. Projects could include working on large cases where documents need to be numbered and organized into binders, and articles of reference that need to be copied and indexed into binders. The Receptionist will deliver excellent internal and external client service in a pleasant and professional manner while greeting clients and visitors to the firm. This position will be in-person in the office, Monday through Friday, 8:00 am to 5:00 pm.
Essential Functions:
Responsible for organizing files, creating pleading indexes, closing files, and working with the records department
Process invoices and submit check requests for payment
Project support under legal assistant or paralegal supervision
Errands such as delivery of documents to opposing counsel and the courthouse
Electronic file management, including saving emails to Filesite, our document management system
Scan incoming mail and disperse to the legal assistants or saving to Filesite
Copy and scanning projects
Assist with large mailings
Prepare UPS/FEDEX slips for overnight delivery
Answer and direct phone calls
Greet clients and visitors
Organize and schedule conference room appointments
Log deliveries and pick-ups
Coordinate and order catering for lunches and events
Schedule Zoom meetings
Handling parking validations as well as HVAC requests for the office

Ability to manage multiple projects, activities and tasks simultaneously
High level of organizational skills
Excellent time management skills
Strong written and oral communication skills
Education and Experience:
A high school diploma or GED is required. One year of work experience in an office setting is preferred.
