General
Responsibilities:
The Planning Administrative Secretary performs secretarial support for the Planning and Development Department. Interact with internal and external customers, public, vendors and other individuals and performs other duties as assigned. Incumbents may interact with elected officials, representatives of industry, community, or professional groups.
Duties include, but not limited to, the following:
Answer and direct phone calls for the Department
Organize and schedule appointments.
Plan meetings and take detailed
minutes.
Write and distribute email, correspondence memos, letters, faxes and
forms.
Assist in the preparation of regularly scheduled board meetings.
Develop and maintain a filing
system.
Update and maintain office policies and
procedures.
Order office supplies and research new deals and suppliers
Maintain contact
lists.
Assist staff with booking travel and training arrangements.
Submit and reconcile expense
reports.
Provide general support to
visitors.
Act as the point of contact for internal and external clients
Liaise with executive and senior administrative assistants to handle requests and queries from senior managers.
Will assist the Planning Administrative Secretary with day-to-day administrative tasks.
Other duties as assigned.
Desired Minimum Qualifications:
Must have a high school diploma or General Equivalency Diploma.
Minimum one year of clerical work.
Excellent time management skills and the ability to prioritize work.
Attention to detail and problem-solving skills.
Excellent written and verbal communication skills
Strong organizational skills with the ability to multi-task
Valid Texas Driver License and maintain an insurable driving record.
Working Conditions and Physical Capabilities:
The employee must frequently lift and/or move up to 25 pounds. Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception and ability to adjust focus.
While performing the duties of this job, the employee is regularly required to use hands to finger, handle, or feel; reach with hands and arms and talk or hear. The employee is frequently required to stand and sit.
