Job Summary:This position will perform a variety of administrative and clerical tasks. Duties of the Administrative Assistant include providing support to our Executive team, managers and employees, assisting in daily office needs and managing our company’s general administrative activities. Essential Job Functions:Prepare, produce, edit with formatting high quality client presentations and correspondence, graphic, while using G-Suite and Microsoft Office 365Adaptable and flexible; able to anticipate problemsTake initiative, leverage network of resources to solve problems and proactively cascade knowledge to peer networkManage deliverables; organize and coordinate work flow, manage multiple tasks, deadlines, and projectsIndependently take action on requests on behalf of leader(s)Coordinating office maintenance and new hire orientation with Aon/WeWork/, as neededCoordinate company wide onboarding sessions once per monthManage purchase order requisition process at the vendor and budget levelMeeting scheduling; one time and recurring meeting setup and logistic coordinationMaintain files, databases or G Suite as appropriateMeeting and event coordination for larger meetings or meetings with leader audiencePrepare expense reportsTravel arrangements; including some multi-destination or internationalProvide back-up support to Victor officeOther duties as assignedQualifications:Education/Experience :Associate's degree required, Bachelors preferred3-5 years of relevant experienceTechnical:Intermediate level computer literacy, G suite and Microsoft Office 365 experience Should be able to convert documents, make PDF Files, attach files, secure files and combine filesStrong ability to communicate via email and phoneProfessional: Excellent customer service skills and exceptional attention to detailSuperior writing skills, grammar, punctuation, spelling and proofreadingCommunicate effectively and professionally We offer you:A competitive total rewards package, continuing education & training, and tremendous potential with a growing worldwide organization.
