The Administrative Assistant is responsible for performing secretarial and administrative duties. The Administrative Assistant executes complex and confidential secretarial and administrative assignments. This person applies advanced computer and process skills with a detailed understanding of the organization’s operation. The Secretary/Assistant assists the Business System Administrator with day-to-day activities. Type formal letters, interoffice correspondence and miscellaneous documents; proofread work for accuracy and compose correspondence and responses to inquiries independently.
Roles and Responsibilities
Answer telephone and handle requests for information at an advanced level
Set up and maintain department records and files
Arrange travel schedules and reservation
Train others as needed
Monitor accuracy, completeness and timeliness of all critical business systems transactions
Coordinate meetings and office communications
Organize, execute and assist with team activities (staff meetings, off-site events, and team social events)
Schedule conference rooms, audio/visual equipment and other materials as requested.
Act as the point of contact among employees and other external agencies/vendors
Act as an office manager by keeping up with office supply inventory
Manage team space, including moves, reconfigurations and new hire introduction
Perform other essential tasks as needed
Qualifications and Experience:
Minimum 3 years’ experience as an executive administrative assistant
Detail-oriented and highly organized
Exceptional communication skills, writing skills, interpersonal skills, and ethical mindset
MS Office proficiency a must (Excel, PowerPoint, and Word), PowerBI a plus
Associates degree or higher preferred
Candidates must be able to legally work and reside in the US, without sponsorship.
