SUMMARY :
This position provides administrative support to the Commercial Organization by assisting with all office procedures and anticipating the needs of a group of executives in the commercial sales business supporting Walmart and Sam’s Club. This individual will work across and collaborate with multiple departments. Must demonstrate strong project management skills through the coordination of multiple travel schedules, events, reporting, and coordination of activities across small and large Teams.
Responsibilities include:
Maintaining, tracking, and reporting of budget data
Processing invoices related to functional expenses
Research and obtain requested information
Assembling business data needed for meetings
Design and produce creative and engaging PowerPoint presentations
Coordinating onsite or offsite events, to include food & beverage, logistics, meeting materials, etc.
Preparing general documentation and spreadsheets
Compiling data for reports and making recommendations
Establish and maintain confidential files and documentation
Calculating and submitting accurate expense reports
Prioritizing incoming mail (physical and email)
Screening and directing incoming phone calls
Route and answer routine correspondence not requiring executive's attention to ensure timely and accurate response
Appointment scheduling/calendar maintenance
Coordinating travel arrangements to include hotel, car, and seminar registrations
Other duties as assigned
REQUIREMENTS:
Experience: 3 years of related experience, preferably in a corporate environment
Education: High school degree required; Bachelor’s degree preferred
Technical Skills : Expert level proficiency in Microsoft Office, Outlook, Concur, TEAMS, conference room AV and PowerPoint; Intermediate proficiency in Excel, SAP (invoice approvals, coding), CLMA (formerly CMS).
Communication Skills: Must possess excellent organizational verbal and written skills and be a self-starter; professional and approachable demeanor required - the role is a point of contact for both internal and external inquiries.
Special Skills: Must exercise sound judgment, flexibility, collaboration, initiative, and commitment; ability to prioritize & organize workload to meet deadlines; work independently to complete department or unit functions; demonstrate aptitude for general reporting, accounting, & invoicing. Position requires a high level of discretion and confidentiality working independently under general instructions and in a timely manner.
