Hudson Cook, LLP is seeking an experienced Legal Administrative Assistant to provide comprehensive administrative support to a group of partners and associates. This position is based in Hanover, Maryland.
Essential Duties
Proofread, format and convert documents for attorney and client use, to include contracts, engagement letters, audit letters and PowerPoint presentations.
Proofread client memoranda, survey, charts and other attorney-client work product.
Create and track various projects charts for clients and attorneys.
Maintain attorney calendars and schedule appointments, calls and conferences.
Prepare travel arrangements and expense reimbursements.
Manage office supply inventory and orders, tend to visitors and general office administration.
Address office issues and repairs with building management and Firm Administrator.
Provide support to other attorneys and Legal Administrative Assistants, as required.
Occasional movement about the office to access files, office equipment, printers, etc.
Consistent operation of a computer and other office equipment, such as copiers and printers.
Interaction with attorneys, clients and staff by conveying details and exchanging accurate information through clear communication.
Repetitive movement of wrists, hands and fingers while handling paperwork, filing and entering data on a computer keyboard.
Qualifications & Experience
Successful candidate will have a minimum of 3 years’ legal administrative experience. Litigation experience a plus.
Critical time management and organizational skills to prioritize projects and meet strict deadlines.
Experience working on multiple matters and supporting multiple attorneys, simultaneously.
Strong command of syntax, grammar and punctuation.
Strong interpersonal, verbal and written communication skills.
Independent judgement with the ability to exercise a high degree of discretion.
Intermediate proficiency with Adobe, Word, Excel, Outlook and PowerPoint.
Work Environment/Physical Demands
Primarily light work in an office setting, sitting for extended periods of time at a desk or workstation. Moving about the office to accomplish tasks, occasional lifting (overhead, waist level) from floor, bending, frequent near vision use for reading and computer use. Communicating with others to exchange and comprehend information. Repeating movement that may include wrists, hands and fingers while handling paperwork, operating office equipment and entering data on a computer keyboard.
