Aon’s Innovation team has an exciting opportunity for an Executive Assistant to support Senior members of the Core Team in our Chicago or San Francisco office. This very important executive assistant role will serve as a gatekeeper for the team by coordinating schedules daily for near-term and long-term priorities and being the interface for high level internal and external partners.The ideal candidate is flexible, professional, has strong organizational and project management skills, is capable of handling their work load and prioritizing tasks in a fast-paced corporate environment. The candidate must be skilled at establishing and maintaining effective working relationships with co-workers and peers, working both independently and collaboratively in a team based environment, while understanding and working through political dynamics, all while maintaining the highest level of confidentiality with sensitive information and working under tight deadlines and often competing priorities. This is a dynamic and fast paced position will support Aon’s global Chief Innovation Officer and the Head of Strategy for Innovation. We are looking for high-energy, highly-capable, enthusiastic professionals who enjoy running the office of a very senior leader in a large and sophisticated organization.Duties and responsibilitiesThe Executive Assistant ascertains the nature of incoming phone calls, accurately records messages, and transfers calls as vital; interface with high level internal and external contacts using discretion and initiative.Proficiently and seamlessly handle the daily calendars for various leaders within the Core Team including adjusting the schedule to accommodate real time priorities to meet the critical needs of internal and external partners.Schedules and coordinates meetings, conference calls, videoconferences, and other events. Informs attendees of function dates and times, reserves meeting space, sends pre-reads, order catering, and provides hospitality services as needed in these meetings.Handle all domestic and international travel arrangements for the team including making travel arrangements, restaurant reservations, running logistics and submitting expenses.Execute excellent communication skills ,written and verbal communications and correspondence.Plan and implement logistics for internal and external events, as required.Under minimal direction, prioritize actions and proactively anticipate the needs and flow of the team/office to ensure a smooth operating rhythm.Communicate a wide variety of information to multiple audiences exercising judgment to reflect the organization’s needs and Aon’s company policies.Print documents, make copies, send faxes and scans documents, all as needed.Ensure adequate office supplies and process purchase requests for additional office supplies as needed.Active approval management support – including but not limited to Coupa, IT, Workday, Travel.Act as a key resource for the team, i.e., independently seek out answers to questions, take initiative, use network of resources to tackle problems and proactively cascade knowledge.Operates with good judgement; solves, reports or raises concerns as appropriate, partnering with other members of the team to the best address problems or hurdles.Assist with on-boarding of new hires in the GSM Business Unit; submit IT service tickets and follow up on equipment delivery.Other duties as assigned.Qualifications5 yrs of shown experience.Proficiency with Microsoft Office, sophisticated PowerPoint skills strongly preferred.High energy, positive attitude, willingness to really commit to ensure success.Easily embraces change, flexible, adapts well to changing priorities.Poise, confidence, and maturity to engage with all levels of management across the firm.Highly organized with ability to prioritize and work on multiple projects at one time.Able to prioritize daily workload, be proactive, and respond to requests promptly.QUALIFICATIONS (cont.)Diligent to details and possess strong follow-up skills.Excellent written and verbal communication skills.Self-directed and able to anticipate team needs.Strong interpersonal skills.Streamline processes innovation outcome focused and results driven.Able to excel in a fast paced, detail-oriented environment.We offer youA competitive total rewards package, continuing education & training, and tremendous potential with a growing worldwide organization.Our Colleague Experience:From helping clients gain access to capital after natural disasters, to creating access to health care and retirement for millions, Aon colleagues empower results for our clients, communities, and each other every day.
