Nossaman LLP is seeking an Administrative Assistant for the Firm’s Los Angeles office. The Administrative Assistant will perform a variety of administrative and clerical duties to assist attorneys, paralegals and administrative staff to whom assigned according to established policies and procedures. This position must be able to perform his/her essential duties in a fast-paced environment and adapt to the daily operational changes given the needs of the Firm to include meeting the time constraints of clients, attorneys, and staff.

Key Responsibilities:

Assist with administrative tasks as needed, including but not limited to: drafting and typing routine correspondence and miscellaneous forms/documents, creation/editing of PowerPoint presentations, preparing and submitting attorney expense reports via the Chrome River application, deposition/meeting scheduling, handling conference registration paperwork, attorney membership and sponsorship forms, coordination of meal ordering through Reception for onsite meetings, etc.

Schedule conference rooms, resolve potential scheduling conflicts, and assist with conference room requirements, as needed.

Assist with attorney travel arrangements, including hotel/airline reservations.

Organize and maintain file system; file correspondence, ensure proper indexing and filing of legal documents and other records in office filing system. Opens and closes files according to the Firm’s procedures.

Review invoices and pre-bills prior to submission, perform edits per attorney’s instructions, and forward to Accounting in accordance with due dates.

Facilitate the printing, copying, scanning and distribution of documents in coordination with other Firm resources.

Answer and screen phone calls as requested, arranges conference calls.

Effectively and diplomatically interact with attorneys and staff across all offices.

Provide timely follow-through on assigned responsibilities and tasks.

Maintain strict confidentiality at all times, consistent with the Firm’s policies and procedures.

Experience & Qualifications:

High School Diploma or GED equivalent.

1-2 years Administrative Assistant experience working in a professional services firm.

Working knowledge of Microsoft Office (including PowerPoint).

Ability to multi-task, prioritize and work efficiently.

Ability to handle multiple demands and shift priorities with ease.

Ability to work independently and be a self- starter, energetic, excellent grammar, spelling and proof reading skills.

Ability to listen, communicate (written and verbal) and follow-up effectively with all staffing levels and attorneys.

Flexibility to adapt to all situations, ability to work weekends or evenings as needed.

Ability to perform at high levels in a fast paced, changing work environment.

Ability to anticipate work needs and follow through with minimum direction.

Knowledge of legal terminology, legal and court procedures is preferred.

Typing of 60 wpm.
