Profile

The Scheduling Coordinator assists with patient scheduling, including the coordination of multiple appointments across different departments, programs, and specialties. The responsibilities of this position include insurance verification, assisting with the pre-authorization process, and acting as a liaison between the providers and patients. Develops the master schedule for procedures and coordinates the entire case resource needs.

 

Performs all duties in relation to the scheduling and pre-registration of exams and procedures.  Accurately schedules procedures, documents correct diagnosis, and refer a physician. Pre-registers patients via Affinity (or assigned tracking system) accurately and efficiently by obtaining correct and thorough insurance benefits, employer/guarantor information, and patient demographics. Accommodates requests from patients and physician offices for STAT/same-day add-on exams.

 

The Scheduling Coordinator provides updates to patients and physicians on the timing and status of the authorizations as delays or insurance denying a pre-authorization could have an impact on the patient's health and/or testing and treatment options. Once the pre-authorization is complete and the appointment is scheduled, the Scheduling Coordinator provides the patient with scheduling options/itinerary.

 

Maintains calendars for the scheduling of meetings and patient consultation, simulation, and follow-up appointments for physicians.  Acts as a resource to others for Medical Clinics. Registers new patients in hospital systems.  Obtains authorizations for diagnostic studies and faxes needed medical records when asked for clinical review. 

 

EDUCATION AND EXPERIENCE:

 

*High School Graduate or equivalent required *A minimum of one(1) year's administration/project management experience in an acute care hospital environment required *Proven excellent customer service skills, including the ability to progressively probe, and analyze. Successful experience leading and motivating team members without direct reporting authority required. *Working knowledge of medical terminology, plus a full understanding of medical insurance procedures required. *Advanced computer technical skills required, proficiency with Microsoft Office products (Outlook, Word, Excel, and PowerPoint) required; Basic keyboarding skills, minimum 35 WPM preferred
