Job Description:

This staff member is responsible for maintaining and monitoring the budget for the Dean's accounts, tracking faculty/adjunct payroll and course releases, and performing other duties related to budgetary and finance requests from the Dean's office. Position is responsible for supervising work-study/student employees working for Dean's Office.

Responsibilities Include:

1) Maintain budget for WCBT accounts and manage financial requests

Maintain budget for all WCBT accounts (AACSB, Dean, Welch Experience, Graduate Programs operating budget) and provide period reports to the Dean's office;

Process all accounts payable and invoices

Track faculty course releases/teaching loads and stipends and provide periodic reports to the Dean's office and the leadership team;

Track and process faculty/ adjunct payroll;

Serve as the primary contact for the University Business Office (Sally Ferry) and coordinate with the business office for any financial requests to the dean's office;

Track and monitor conference/travel/software/database research funding as approved by the research committee; provide periodic reports to the WCBT leadership team.

Work with Associate Dean for Graduate Programs & Accreditation and graduate program directors with budgeting and forecasting

2) Supervise administrative employees and student workers (e.g., work-study, graduate assistants).

Managing the budget associated with student employment;

Provide training and supervision during working hours;

Manage student worker schedules and approve time sheets.

3) Manage operations and logistics for college

Manage all physical facilities; primary liaison with campus operations

Assign and manage workspace allocation, including faculty/adjunct offices and other workspaces

Work with master scheduler as needed for coordination of classrooms and facilities

4) Miscellaneous:

Assist Dean and Associate/Assistant Deans with day-to-day operational issues, as requested.

Assist Dean and Associate/Assistant Deans with any miscellaneous requests/correspondence from students, parents, community, and other WCBT stakeholders.

Other duties as directed by the Dean and/or Associate/Assistant Deans

Requirements:

Knowledge and Skills Needed:

Bachelor's degree, master's degree with strong organizational skills

Experience with accounts payable and payroll systems

Ability to work independently and supervise others

Proficiency in PowerPoint, Word, Excel and Database Management

Excellent verbal and written communication skills

3 to 5 years of relevant work experience preferred
