invites applications for an

Administrative Associate Manager

to join their team. This position works with a high degree of independence, decision-making and initiative in performing complex tasks associated with the administration and operation of the Office of the Vice President for Operations and Finance and the Office of the Provost and Executive Vice President. This position serves as the first point of contact for both offices and interacts with external and internal stakeholders.

Reporting to the Vice President for Operations and Finance and the Executive Assistant in the Office of the Provost, this position:

Serves as first point of contract for stakeholder questions and concerns

Manages the budget for the Office of the Vice President for Operations and Finance

Performs all accounts payable and receivable functions, including processing requisitions, purchase orders and payroll for staff and students

Manages the calendar for the Vice President for Operations and Finance

Oversees office communications for the Vice President for Operations and Finance

Processes campus and faculty affiliate appointments and renewals

Serves as primary point of contact for University operating policies

Provides support to high-level recruitments

Coordinates Board of Regents agenda item submissions for the Vice President for Operations and Finance

Supervises student employees

Other duties as assigned.

Required Skills

Proficiency in MS Office, especially Outlook for electronic calendar management and videoconferencing applications and social media; ability to learn other programs such as website content management systems.

Excellent task management skills, strong attention to detail, and ability to multi-task with demanding timeframes.

Strong communication and interpersonal skills to communicate effectively; both verbally and in writing.

Strong analytical/problem-solving skills using sound judgment within policy parameters.

High quality customer service orientation.

Strong ability to work independently and as a team member.

Ability to use high-level discretion and maintain a high level of confidentiality.

Ability to work effectively with a variety of colleagues at all administrative levels.

Diplomacy, professional appearance and demeanor.

Bachelor’s degree
