Description
The Administrative Assistant assumes ownership and leads administrative/operational/customer support duties that require independent initiative and judgment. The Administrative Assistant transcribes, types, formats, and proofreads a variety of material (e.g., correspondence, invoices, contracts, meeting minutes, reports, speeches, and presentations) using word processing, presentation, graphics and spreadsheet software. Coordinates internal and external meetings which may involve scheduling meeting times, making travel arrangements for attendees, and ensuring that various meeting amenities are available. Manages the appointments and schedules of applicable staff. Uses office equipment such as photocopiers, faxes, and printers.

The Administrative Assistant assumes ownership and leads administrative/operational/customer support duties that require independent initiative and judgment. The Administrative Assistant transcribes, types, formats, and proofreads a variety of material (e.g., correspondence, invoices, contracts, meeting minutes, reports, speeches, and presentations) using word processing, presentation, graphics and spreadsheet software. Coordinates internal and external meetings which may involve scheduling meeting times, making travel arrangements for attendees, and ensuring that various meeting amenities are available. Manages the appointments and schedules of applicable staff. Uses office equipment such as photocopiers, faxes, and printers. Additional responsibilities may include distributing incoming mail, preparing outgoing mail, filing, maintaining office supplies or other inventory. Decisions are typically focused on methods, tactics and processes for completing administrative tasks/projects. Regularly exercises discretion and judgment in prioritizing requests and interpreting and adapting procedures, processes and techniques, and works under limited guidance due to previous experience/breadth and depth of knowledge of administrative processes and organizational knowledge. Coordinates the daily priorities for an administrative work group, including daily work activities and monitoring progress towards schedules/goals, and often oversees work of others and/or is the primary administrative owner of a main process, program, product or technology. Works within broad guidelines with little oversight.
Required Qualifications
Previous experience in an administrative support position
Proficient in Microsoft Outlook, Word, and PowerPoint
Proficient in Microsoft Excel
Ability to manage multiple or competing priorities
Strong attention to detail
Capacity to maintain confidentiality
Strong organizational skills
Must be passionate about contributing to an organization focused on continuously improving consumer experiences
Ability to balance multiple initiatives and prioritize workload
Preferred Qualifications
Associates or Bachelor's Degree
Proficient in Power BI
Experience with internet research and proof-reading/editing
Additional Information
This position is currently work from home but will transition to the Miramar office once deemed safe due to do so.
