Position Summary:

The Executive Administrative Assistant is responsible for providing administrative support to the Head of NA Retail, CK and be the point of contact for the larger team.  This individual will function to create and manage efficiencies within the retail team and functions, as well as initiate and manage processes for cross functional collaboration.  In addition, this individual will be responsible for and chair the committee to build team culture.  The role will include project management functions for the retail stores to include a lead role in new specialty concept, marketing initiatives and customer events.  Finally, in support of a hybrid work model this individual will manage the technology and systems support for an inclusive and seamless working environment.    

Primary Responsibilities/Accountabilities of the Job

  • Proactively manages and prioritizes incoming and outgoing communications, including external/internal mail, telephone calls, reports, etc.
  • Files and organizes communication to ensure smooth and timely flow of information in and out of the office. Consolidates information from multiple sources to facilitate supervisors’ review.
  • Creates, formats and edits correspondence and presentations with minimal direction.
  • Maintains contacts and calendar, including heavy meeting and appointment scheduling, departmental meetings, and conference arrangements.
  • Handles logistics associated with meetings, appointments and conferences.
  • Makes travel arrangements and supports CEO offices for executive travel.
  • Completes detailed expense reports and reviews team expenses in line with budgets.
  • Follows up on various activities to ensure closure, completion and deadlines are met.  May include weekly reports, status updates, meeting follow-up, requests for information, projects, programs, events, etc.
  • Supports team with necessary technology and equipment to perform work duties.
  • Lead role in managing the execution of a new specialty retail concept.
  • Manage marketing and event requests for all retail stores.
  • Files and organizes communication to ensure smooth and timely flow of information in and out of the office. Consolidates information from multiple sources to facilitate supervisors’ review.
  • Maintains business continuity plan and order office supplies.
  • Support team with various projects throughout the year, as needed (such as market appointments, making photocopies, setting up lunch).
  • Works independently on specific projects as assigned.
  • Processes invoices and generate seasonal or quarterly reconciliation reports.
  • Other specific projects as assigned.

Knowledge/Skills Required:

  • Bachelor’s Degree (or equivalent) preferred.
  • 5 years assisting a Senior Executive, preferably within the retail industry.
  • Detail oriented and highly organized with a desire to maintain schedule, filing systems and calendar.
  • High level of proficiency in PowerPoint, Excel, Word programs.
  • Excellent at handling changing priorities; multi-tasking.
  • Excellent communication and interpersonal skills. Passionable about building employee community.
  • Experience interacting with Senior Executives in a corporate environment and employees at all levels.
  • Must be able to handle stressful conditions with minimal supervision.
  • Requires the utmost level of integrity and ability to handle confidential information.
  • Excellent verbal and written communication skills, including ability to draft correspondence with minimal direction.
  • Must possess exceptional interpersonal skills.
  • Flexibility with regard to work hours.
  • Must be proactive and resourceful with all tasks.
  • Able to multi-task and adapt to fast-paced environment.
