Schwabe, Williamson & Wyatt has an opening for a full-time Office Assistant in its Salem office.
The Office Assistant must deliver excellent internal and external client service in a professional manner. In addition, this position requires the ability to learn and utilize computer software, follow instructions carefully and accept a full variety of projects, work on multiple projects simultaneously, and meet deadlines as assigned.
Essential Duties:
Performs daily housekeeping tasks such as loading and unloading the dishwasher, brewing coffee, cleaning the conference rooms, stocking the refrigerator, and running errands.
Responsible for office supplies to include maintaining paper in the copy machines, ordering supplies, and organizing the supply room and visiting attorney offices.
Responsible for organizing files, creating pleading indexes, closing files and working with the records department.
Responsible for conference room set-up, including AV equipment, lunch orders and clean-up.
Other tasks including travel arrangements and expense reimbursements, contact entry into InterAction, assistance with client holiday events and gifts, and onsite coordination for office repairs and IT issues.
Greeting clients and visitors.
Data entry into Estate Works.
Preparation of estate planning binders.
Attendance at estate planning client meetings and witness client signings.
Copy and scanning projects.
Assist with large mailings.
Prepare UPS/FEDEX slips for overnight delivery.
Project support under the supervision of the Legal Assistants and Paralegal.

Education and Experience
A high school diploma (or equivalent) is required. Two years of work experience in an office setting is preferred.
