We are hiring an Executive Admin to support the Office of the CFO. The ideal candidate is a thoughtful communicator, thinks one step ahead, and keeps their cool no matter the circumstance. WHAT YOU’LL NEED TO BRING TO THIS ROLE...
Manage logistics for the Office of the CFO (i.e. schedule meetings cross functionally and across geographies, coordinate events, research a special project, whatever comes your way!)
Arrange domestic and international travel
Arranging team meetings; including managing all pre-read material, attending & capturing meeting minutes, following up on outstanding actions, budget and relevant PO Management
Manage expense report submissions for executives and checking of team members reports
Coordinate general administrative and organizational matters, e.g. managing/organizing team shared drive/folders & content; supporting new hires; team holiday tracker; updating organizational charts
Compose and edit correspondence on behalf of the executives
Gather data from a variety of sources for inclusion in reports and presentations
Interpret and relay company policy information; keep VP's informed of any deviation on items that may require personal attention and approval
Act as a liaison between various executive teams
Handle confidential material meaningful to company operations
Complete a variety of special projects including creating presentations, spreadsheets, special reports, and agenda material
Other additional and/or alternative duties as assigned from time to time, including supporting other departments or VP's as needed
WHAT YOU BRING TO THE TEAM.........
B.A./B.S. degree or equivalent experience
Thrives in a fast-paced, demanding environment
Must be driven and willing to pitch in where ever needed
At least 6 years of experience in an Executive Administrative role
Demonstrated ability to prioritize and complete projects in a high-volume, fast-paced environment
Strong written, oral and interpersonal communication skills
Strong organizational skills and an eye for detail
Experience with Gmail/G-calendar, Google suite, Marketo, Salesforce, and Concur a plus
Strong experience in project and process management
Coaching and advisory capabilities
Well organized and ability to manage multiple executives
Outstanding interpersonal skills
Excellent communication etiquette
Discrete and confidential nature (maintains confidentiality)
Outstanding high level written and verbal communication skills
Able to collaborate with high-level internal and external contacts
Motivated to tackle new projects and ideas
A team player capable of cultivating productive working relationships
Resourceful, can-do attitude
Must be willing and able to work in an open office, team environment
