invites applications for an
Administrative Associate III
to join their team. This position is a blended position that will work in two to three separate departments at the Curry Health Center (CHC). The Administrative Associate III will potentially spend 50% of their time in the health information management department, and the other 50% in medical, counseling and dental reception; and will fill in for medical assistants who are on leave, as needed. This position will work under the supervision of the supervisor for Health Information (Medical Records).
Key Responsibilities and Duties include:
Processing electronic medical records: all clinic visits and/or treatments and procedures; lab tests; radiology studies according to HIPAA guidelines and regulations
Ensure proper coding and billing of patient records and charges with CPT, ICD-10 and HCPCS guidelines
Proficient in medical terminology for chart analysis and documentation requirements
Timely processing of records to and from consultants and outside facilities
Sorting and distributing mail, processing incoming records, payments and other incoming correspondence
Routing records, prescription requests/authorizations promptly and accurately
Quality improvement related to gathering information, review and reporting
Update (drafting) procedures directly related to medical records tasks to keep processes current.
Gathering information and generating correspondence related to financial aid reinstatements or medical/hardship withdrawals
Transcription processing including collection and posting of dictated material, verifying accuracy and completeness of dictation/transcription and other documentation
EMR documentation, review records for completeness, accuracy and compliance with regulations
Release information to persons and agencies according to regulations
Quality Improvement studies; stats and reports; student claims and billing procedures; provider education
Responsible for counseling health information
Develop diagnostic and procedural codes for correct billing, verify codes, charges, and keeping contact with counseling staff to ensure accuracy and compliance with regulations
Personal interaction with other staff members; billing questions; medical record processes
Invoice follow-up and payment collection, charge & credit review
Greeting patients, scheduling appointments, processing patient information, answering and directing telephone calls, and placing and releasing health holds in BANNER for all incoming students.
Assist as back up for medical reception processing immunization records for admission criteria; notify patients of missing information, and correcting mistakes
Support counseling reception in making appointments and answering phones
Collect pertinent information from clients and respond in an appropriate professional manner
Assist health care providers with exams & procedures
Prepare patient for exam & procedures, take and record vital signs, instruct patients regarding referrals and follow-up appointments
Represent peer group at appropriate clinic meetings
Upon completion of training, the incumbent will have developed ability and working knowledge of:
Curry Health Center policies and procedures including medical requirements for registration, insurance billing procedures, charges and fees
Knowledge and skill to process on BANNER program on all new and returning students’ Medical Requirements Forms as required by University of Montana and Montana state laws
Data entry of information into BANNER and the immunization compliance monitor following Curry Health Center policies and procedures
Skill to conduct computer transactions; make appointments, make changes in provider schedules, generate EMR notes for patient messages and prescription refill requests, proficient keyboarding skills

Ability to process health information and knowledge, understanding and application of HIPAA and confidentiality as related to this procedure
Knowledge of patient privacy and confidentiality in accordance with State, Federal, HIPAA statutes
Ability to understand coding, including CPT, ICD-10 and HCPCS and their relation to reimbursement including chart analysis and document requirement
Knowledge, understanding and proper application of medical terminology
Knowledge and proper application of computer software and office including MS Office and Outlook
Familiarity with recordkeeping and tracking
Ability to maintain effective working relationships with a diverse group of individuals
Ability to learn and apply university policies, procedures and understand campus departments and their roles as they apply to Curry Health Center
Problem-solving skills and the ability to exercise sound judgment to answer questions regarding issues related to medical records, billing, coding and Curry Health Center processes
Ability to function in all aspects of Health Information Management and to take the initiative to back up/assist all positions in the medical records office as needed
Understanding accreditation and the role of health information management as related to the accreditation process
Ability to multitask and work well in a team setting with a wide variety of people
Ability to use various office machines including computers, fax machines, scanners
Ability to maintain confidentiality of student and patient information
Minimum Required Experience
High School diploma and three (3) years of relevant experience or an equivalent combination of education and experience.
Curry Health Center (CHC) strongly encourages all employees to be current with the Center for Disease Control (CDC) recommendations on immunizations for Health Care Worker (HCW). This will ensure a safe work environment for our employees as well as our patients. The employees who have not been vaccinated will not be able to work if an outbreak occurs.
Preferred Qualifications
Associates degree in Medical Information Technology or Health Information Technology
Current national certification as a Certified Medical Assistant or a Registered Medical Assistant or an equivalent combination of education/work experience
Current Certification in CPR
Working knowledge of medical procedures and preparation needed for medical exams and procedures
Understand privacy and confidentiality of patients per HIPAA (Health Information Privacy)
