The
Office of Conflict, Resolution, and Policy (CRP)
invites applications for an
Administrative Associate IV
to join their team. This position works with students, faculty, staff, administrators, and community members at all levels of the University in a confidential capacity. The Administrative Associate furthers both the University’s Enterprise Risk Management Plan and Diversity, Equity, and Inclusion Plan by creating expanded expertise, capacity, and depth to appropriately address campus reports of protected-class discrimination and harassment.
Specific duties to be performed include:
Data Collection, Tracking, and Technical Support
Input and maintain records/data relative to the operations of CRP.
Monitor and track protective and supportive measures, sanctions, and terms of informal resolution agreements and communicate with parties as needed.
Assist with production of annual reports.
Regularly audit cases to ensure all data and documentation is accurate and complete in compliance with CRP policy and procedures.
Provide technical assistance to users and troubleshoot and resolve application and database related problems, in consultation with Director of University Investigations & Process.
Case Intake and Support
Case intake by telephone, computer, and in-person.
Assist in implementation of protective and supportive measures as needed.
Document steps and action taken in each case.
Draft and disperse letters and other case documents as needed
Work closely with CRP team to assist with interviews through note taking, scheduling, and communication.
Assist with logistics and technological support for CRP hearings/formal proceedings.
Communication
Maintain regular communication with established teams, while working independently.
Participate on relevant campus-wide policy and planning committees and working groups as assigned.
Office Operations
Answer phones and provide information, while maintaining confidentiality.
Monitor the general office email address and ensure accurate and timely responses.
Process invoices and purchases for the CRP office.
Serve as copy editor for departmental marketing, outreach, and internal and external communication materials.
Perform administrative and clerical duties to support the CRP staff as need for all office business.
Required Skills
Advanced proficiency with various computer programs and basic office equipment.
High level of integrity due to the complex nature of confidential information.
Expertise in multi-tasking and prioritizing assignments, organizing incoming work, and returning work products promptly.
Ability to work in a fast-paced setting while maintaining superior attention to detail.
Strong understanding and respect for confidentiality involving information protected by FERPA and state of Montana laws.
Superior recordkeeping, notetaking, and documentation skills.
Excellent written and verbal communication skills, including the ability to establish rapport with individuals regarding sensitive matters and under difficult circumstances.
Ability to establish and maintain professional and cooperative working relationships with staff, students, guests, faculty, and visitors at the University of Montana.
Ability to follow established policies and procedures for entering and maintaining data.
Ability to work in a variety of settings with culturally-diverse individuals and individuals in trauma/crisis.
Minimum Required Experience
High School diploma and two (2) years’ experience or an equivalent combination of education and experience.
Preferred Qualifications
Bachelor’s Degree (or functional equivalent in education or relevant, tangible experience).
At least two years’ experience performing administrative functions in an office setting.
Demonstrated proficiency in record-taking, recordkeeping, and data input/maintenance.
Experience working with persons in crisis.
Familiarity with higher education.

This position will report to the Director of University Investigations & Process, but will work closely with the AVP and Directors/Coordinators within the Office of Conflict, Resolution, & Policy. The Office of Conflict, Resolution, & Policy is transitioning from an independent unit within the President’s Office to until within the forthcoming Division of People and Culture.
