The School of Architecture has an exciting opportunity for a full-time Senior Program Coordinator to work in Coral Gables, FL.
The Senior Program Coordinator provides general oversight of the day-to-day operations of the program, assists and reports to the Director of the Program in the development, organization, production and evaluation of the program in order to achieve the program's mission, goals and objectives and Is familiar with university, college and program policies and procedures, ensuring program compliance.
The Senior Program Coordinator serves as liaison between the Program Director, Office staff, Graduate School and members of the community including board members and construction industry organizations. The individual will be responsible for overseeing the daily operations for the Construction Management program at the School of Architecture.
Primary Responsibilities:
Exercises discretion while representing the program and Program Director as the liaison to program constituents both within the University of Miami (i.e. students, administrative offices, teaching faculty) as well externally (i.e. prospective students, corporations, community).
Provides assistance and support for student participants in all administrative aspects of the program including the receipt and processing of applications for admissions, scheduling interviews, registering students, and maintaining applicant and participant databases in conjunction with the School of Architecture's Academic Services and Career Placement Office and other University units involved in admissions and student services.
Coordinates collaboration between schools and academic support units throughout the University in support of the program goals.
Coordinates the collection, compilation and analysis of program activity data; drafts comprehensive statistical and narrative program reports and evaluations for the Director's review, and monitors program effectiveness, making suggestions for revisions as necessary.
Coordinates the scheduling of program classes, designated classrooms, and the planning and organization of events for recruitment and programmatic activities.
In consultation with the Director, drafts and initiates correspondence, develops agendas, maintains calendars, assists in accumulation of reference materials, and coordinates and attends committee meetings including preparing meeting materials, recording minutes, and assisting with follow-up activities.
Assists the Program Director with the development and implementation of student recruitment initiatives and program promotion, including the development of program marketing and advertising strategies.
Knowledge, Skills, and Abilities:
Ability to function independently and adhere to established deadlines with little supervision. This person will use appropriate judgment in answering questions and referring problems to the Program Director. The individual is responsible for interacting with current and potential graduate students, alumni, faculty and board members. This individual must be very organized, efficient, able to effectively multi-task, and manage a high volume of administrative paperwork and communications with minimal supervision.
Knowledge of MS suite (Word, Excel, PowerPoint), Adobe Photoshop and Publisher experience preferred.
Workday / Cane link Experience desired.
Bilingual preferred (Eng/Spanish)
Skills in assessing, organizing, and prioritizing multiple-tasks. Strong skills in written and verbal communication.
Ability to lead, motivate and direct. Ability to communicate with all levels of employees, colleagues within and outside of the School of Architecture including Board Members.
Customer-oriented.
Education Requirements (Essential Requirements):
High school diploma or equivalent. Bachelor's degree in Business Administration / Management or similar or Master's degree preferred.
Work Experience Requirements (Essential Requirements):
Minimum 3 years of relevant experience. Five (5) years of progressive experience as an Administrative Assistant or Program Coordinator or Manager preferred.
Construction and or Real Estate industry experience preferred.
