Job Description:
Provide administrative support to the Permian Technical Manager (TM), TM Leadership Team and the TM organization of 50 staff. Support TM and Leadership Team ensuring their day-to-day operations run smoothly through excellent and proactive administrative support.
Accountabilities
Calendar management for TM. Coordinate calendars and schedule meetings with internal and external stakeholders, including catering requests.
Support Technical Team for general administrative assistance, including floor management, event management, data management and general support.
Support the TM LT in detailed travel planning, ensuring seamless planning to support delivery of business objectives.
Role model positive behaviors while dealing with change and unforeseen demands.
Professionally engage with external counterparts to create aligned agendas and manage necessary planning details accordingly.
Reconcile Concur expenses for TM and LT.
Collect and organize timely pre-read for a variety of meetings.
Become familiar with the business and stakeholders to more effectively manage calendars and requests.
Provide support to broader community events including town halls, social events, etc.
Manage floor workspace, including move requests, as applicable.
Create and update organization charts.
Provide data management and technician support.
Use Microsoft Office Suite to proficiently create and edit. documents/worksheets/presentations.
Coordinate office space for team(s) supported working with local real estate, including ensuring office environment is well-stocked with necessary supplies.
Coordinate administrative support with Permian General Manager Administrative Assistant. Backfill for GM Admin as needed.
Staff onboarding and offboarding and all administrative items associated with same.
Maintaining team’s SharePoint site.
Collaborate positively with other Administrative Assistants to continuously improve how work gets done across the business.

Requirements:
Experience as an Executive/Management Assistant.
Able to multi-task and manage high workload to tight timelines.
Restricted/sensitive information to be treated with a high degree of confidentiality.
Professional, flexible and pro-active attitude essential to make the job share a seamless process.
A high level of interpersonal skills and team working, able to communicate effectively with all levels including senior management.
PC literacy: Experienced in MS office applications and ability to quickly gain competence in other IT software.
Proficiency in systematically maintaining accurate records pertaining to activities such as meetings, travel, correspondence and events.
