CVPartners is in search of a Recruiting Administrative Assistant to help support our office in San Francisco, CA. We are a fast paced Recruiting Firm nestled in the heart of the Financial District with our headquarters located in Chicago, IL. The right individual for this role will maintain exceptional communication skills, outstanding organizational structure and be flexible on their toes. Without the support of this role, our company would not be as successful as we are today. The selected individual will work closely with the managers to ensure compliance, consistency, and efficiency across all channels. Responsibilities
Answer and direct all incoming calls to Recruiters and Staff.
Greet Candidates and Clients as they arrive to the office and place them in conference rooms.
Maintain the lobby, conference rooms, bull pen and kitchen areas.
Coordinate conference room calendars to ensure smooth scheduling between multiple groups.
Manage office supplies, order accordingly and reconcile monthly expenses for the office.
Coordinate any additional meetings within the office, as needed.
Run background checks using given criteria communicated through individual clients; Maintain communication with our background representative; Follow up with recruiters regarding drug screenings to ensure a timely completion.
Oversee the onboarding process for temporary candidates by sending I9s, obtaining proper identification documentation, and following up to ensure all candidate’s onboarding is completed
Assist candidates with any issues they may have regarding missing timecards, payroll, background checks/drug screens, etc.
Coordinate with the Regional Administrative Manager for any new polices, updates, or changes to any internal process. Must remain up to date on changes and display knowledge of all aspects of the administrative role.
Maintain the teams’ job postings on various portals and update data accordingly
Implement actions according to administrative policies and procedures.
Provide extensive reporting as requested for management within the office.
Process unemployment claims and communicate with recruiters in order to collect all relevant information regarding the claimant and claim.
Research and investigate information to enable strategic decision-making by others, including recruiting and market trends, client profiles and other research as required.
Perform other projects as requested by Management.
The Right Candidate WIll Have
Four-year degree or equivalent
One year of relevant office experience
Hands on experience with MS Office, including Word, Excel and Outlook
Professional oral and written communication skills
Possess drive, dedication, and the desire to grow
