**Providence is calling a Administrative Assistant 3 - Emergency Services (1.0 FTE, Day) to Providence Portland Medical Center in Portland, OR**

We are seeking a Administrative Assistant 3 - Emergency Services that will contribute to the operational effectiveness of the Assistant Administrator/PPMC, and Director of Mission Integration/Providence Portland Medical Center by providing secretarial and administrative support. Also supports other managers as needed.
**In this position you will have the following responsibilities:**
Know the responsibilities of the Assistant Administrator/PPMC, and Director of Mission Integration/Providence Portland Medical Center in order to coordinate the efficient operation of major projects, clinical program business development and Mission Integration activities. Keeps informed of medical center and regional activities and services, personnel policies and other policies and procedures to assure appropriate application in division activities
Answer in-person or telephone inquiries:
Direct individuals to other departments or persons
Take messages
Provide assistance such as providing copies, etc.
Schedule and coordinates appointments for the Assistant Administrator/PPMC, and Director of Mission Integration/Providence Portland Medical Center
Greet patients and families who present with complaints and contact quality management
Assist Administrators in managing their calendars, including the preparation for meetings with staff, management, committees, and consultants:
Detail calendar review and updating on a daily basis
Scheduling meetings
Developing meeting notices and materials for meetings
Arranging for meals, refreshments, and audiovisual equipment
Create overhead presentations as required
Receive, prioritizes and directs mail
Assist with correspondence:
Typing/word processing and proofreading in a timely manner of letters, memos, minutes of meetings, reports, meeting notices, charts, etc.
Competent use of appropriate computer programs and various other office machines including: dictaphone, typewriter, word processor, calculator, facsimile and photocopying machines
Independently composes correspondence as appropriate
Gather information and prepares special reports as necessary
Work collaboratively with other Administrative Secretaries to assure effective communication with all constituents and to coordinate the workloads in the Administrative offices
Coordinate and implements the following:
Employee Luncheons and Breakfasts for the Administrators (3x month)
Request for tubal ligations
Flower for employees and foundation members who are hospitalized
Anniversary card from administration to employees completing their first year
Management forum agenda and minutes
Process and monitor invoices, purchase orders, voucher requests, time cards, social accountability reports and related forms
Safety coordinator for the department of administration
**Qualifications:**
**Required qualifications for this position includes:**
Five (5) years of work experience in the hospital or general business setting, including 2 years spent in a position such as executive/administrative secretary
Public relations or customer service based experience
Experience in data entry
