Job Description:
Manages the Provost's extremely active calendar of appointments, prioritizing meetings and organizing the schedule to ensure the maximization of time with an understanding of the complexities of each meeting and any preparation that may be needed.
Serves as the initial point of contact in the Provost office, fielding inquiries and investigating matters to present to the provost for review and approval.
Reviews and organizes incoming documents, correspondence, and reports, providing responses or draft responses for the Provost's approval and signature.
Communicates directly and on behalf of the Provost as directed with faculty, staff, students, and community members.
Maintains the integrity of all information flowing in and out of the Provost office, displaying a clear understanding of the confidential and sensitive nature of the relationships, interactions, and paperwork being handled on a daily basis.
Prepares comprehensive, official minutes for the Academic Affairs Council, Department Chair meetings, and maintains the official record of the Board of Trustee Academic Activities committee minutes.
Organizes and maintains the Provost confidential records and files including documents and materials, correspondence, and legal agreements with internal and external partners.
Coordinate faculty and adjunct contracts through collaboration with the Human Resources office ensuring contracts are accurate and timely.
Oversees processes related to grade appeals and academic dishonesty reports/appeals.
Coordinates the selection process of internal awards/professorships including Founders Day Awards.
Assists with the logistics and billing processes of the Krause Science Lecture Series and the Esbenshade Series.
Assist, process, and track faculty grant expense reports.
Requirements:
Ability to prioritize and exercise independent judgement in high pressure situations while maintaining composure and a professional demeanor.
Ability to maintain productivity in a fast-paced environment without losing sight of the strategic goals of the provost office.
Skilled at managing people and projects in order to accomplish goals and meet objectives.
Proven ability to handle confidential information with discretion.
Level of competency and confidence that supports the ability to make decisions with minimal supervision.
Required Experience & Education:
Bachelor's degree is preferred, or associate degree and five years plus experience in a similar position, or 10 years plus experience in a similar position.
A minimum of two years' experience supporting a high-level professional within higher education.
Recent experience and proficiency with Microsoft Office Products, remote communication tools, and scheduling tools.
