Job Description:

What's the role -

Provides administrative support to the Houston Lubricants Plant, specifically supporting Timekeeping and payroll functions for the hourly workforce for the site, as well as acting as a focal point or coordinator for various other activities, such as recognition activities, plant events, uniform services, attendance management, and various vendor management.

Position Accountabilities


Ensure hourly employees are paid according to Shell Policy and the Collective Bargaining Agreement by managing the timekeeping and timeclock systems (e.g, InFront, IQuest), interfacing with GSAP/P91, and submitting HR data.
Work closely with the front line supervisors to ensure the accuracy of the time submitted for Payroll processing.
Support supervisors and leadership team with overtime management, reporting, attendance management, which includes use of GSAP and Excel for data management, tracking, and trending.
Coordinate and take minutes for monthly Union Management Meetings as well as any other special meetings with the Union (such as negotiations).
Post hourly job openings and coordinate review of all bidders on the jobs with the supervisor or manager.
Preparation and distribution of communications to the site related to personnel, policies, vacation, attendance, timekeeping, job posters.
Manage contingent (e.g., contract) operators through the IQN program.
Manage boot and prescription safety glasses voucher programs.
Manage various vendors including water, coffee supplies, uniforms, and other facilities services.
Coordinator/Planner of special events (e.g., recognition events, VP visits, etc) including planning, logistics, and execution.
Coordinate meeting rooms and logistics for on-site meetings and site events.
Provide back-up support for badge access management, which could include facilitating external visitors (on-site accommodations, greeting and escorting, PPE, etc) and maintaining the visitor log.
Maintain the electronic signage board and other signs and communication boards.
One of the focal points for supplies for the office and copier maintenance and supplies.
Focal point for Joiner, Mover, Leaver process for the site.


Skills and Requirements

What we need from you -


Must have legal authorization to work in the US on a full-time basis for anyone other than current employer.
Associate Degree or equivalent preferred. Years of experience will be considered towards educational equivalent.
Timekeeping experience, particularly using IQuest and GSAP preferred. Experience with a Union workforce preferred.
At least three (3) years of related administrative experience with strong skills in the use of Microsoft Office, including Word, Excel, Outlook, MS Teams, particularly for data reporting and file management.
Applicant must be able to effectively communicate, orally and in writing, with plant personnel at all levels.
Applicant must be detail-oriented, proactive, energetic, and self-starting.
Applicant must demonstrate a high level of confidentiality, honesty, and integrity.
SharePoint Experience is preferred
