JOB SUMMARY The Office of Diversity and Inclusion (ODI) is seeking applicants for its Administrative Program Support 1 position. This position will coordinate the administrative support and financial transactions for ODI's central office (CO), cultural centers, and programs. Under the direct supervision of the Director of Diversity and Inclusion Initiatives, this position coordinates the administrative support and financial transactions for ODI's central office, cultural centers, and programs. The incumbent will address private, controversial, and highly sensitive data, coupled with the requirement to coordinate multiple projects with accuracy and short timelines, and will require a high level of independent troubleshooting and problem-solving in a fast-paced environment. DUTIES AND RESPONSIBILITIES Provides operational and administrative support to the unit by overseeing the daily functions including inventory and procurement of supplies, processes maintenance requests, and participates in cooperative efforts to manage, schedule, and maintain shared office calendars. Arranges administrative logistics for cultural centers and programs and CO events including coordinating visitors' and speakers' travel and accommodations; orders food and requested supplies for events; and provides pre- and post-event input regarding the effectiveness of event. This position is expected to complete these tasks with some initial information from the primary point person on staff but will use their discretion and judgment as to how best to make the final arrangements. Communicates regularly with other University offices and/or outside constituents to request or provide information or to clarify procedures. Provides administrative support for all searches, which includes entering data; takes notes at Search Committee meetings; arranges for candidates' travel for interviews; and handles correspondence as requested. Responds to email, voicemail, and in-person requests efficiently and effectively, particularly to those who may be in distress; maintains privacy regarding all requests. Submits student job posts, processes paperwork for graduate assistants, and creates appropriate payroll transactions. Ensures equipment is fully functioning and works with ITS and/or external vendors to order, update, and repair equipment (Xerox, ReadyFresh). Provides recommendations to improve operational effectiveness. Financial Prepares, tracks, and monitors payments of all financial transactions for the CO, cultural centers, and programs, which includes purchasing, Personal Service Agreements, Disbursement Vouchers, Foundation reimbursements, and other transactions while following University policies and procedures. Reconciles P-card transactions to correct account numbers and with the required documentation. Handles all travel-related requests for CO, cultural centers, and programs staff, including booking flights and hotel reservations, and processing mileage and other reimbursements. Performs related duties as required. MINIMUM QUALIFICATIONS Bachelor's degree or equivalent combination of education and experience. Flexibility to coordinate and track multiple tasks simultaneously. Proficiency with Microsoft Office Word and Excel. Proven ability to collaborate, troubleshoot, problem solve, and work to exchange ideas and resolve complex situations. Ability to anticipate needs and proactively resolve administrative problems efficiently, effectively, and independently. Demonstrated high-level attention to detail and excellent organizational, decision-making, and time management skills. Excellent interpersonal skills and the ability to work effectively with the department/University staff and other individuals and groups. Demonstrated experience working with diverse constituencies; ability to support and promote an inclusive and welcoming environment. PREFERRED QUALIFICATIONS Proficiency with Kuali Financial System, WebFocus, Husky Buy, CoreCT, PageUp, Concur, or similar systems. Experience with the application of policies and procedures, preferably in a higher education context. Development of administrative and programmatic procedures sufficient to provide a high-functioning, efficient, and effective department that serves the needs of all constituent groups. One to three years of administrative experience supporting the operations of an office, supporting management or leadership, supervising incumbents, or in a related administrative capacity.
