invites applications for an
Administrative Associate III
to join their team. This position will provide administrative support for W.A. Franke College of Forestry and Conservation’s (FCFC) faculty and staff and other programs in the College as assigned. They will be supervised by the W.A. Franke College of Forestry & Conservation Administrative Supervisor.
The Administrative Associate III will be expected to operate with minimal supervision in administrative support by assisting current and prospective students, answering FCFC main line, scheduling calendars and assisting faculty as well as supporting other admins and the accounting department as needed. Duties also include developing and maintaining tracking systems, providing summary data as needed, and assisting faculty and students with accounting paperwork (field trip budgeting, travel paperwork, Procard receipts, vehicle reservations, etc.). This position will also record and maintain meeting minutes.
While College and Departmental policies provide specific direction for some projects, the Administrative Associate III is expected to be able to work under limited supervision and to provide high-level support on complex and unstructured tasks. This position will oversee budgets including: reconciling finances, conducting research, preparing reports, following up on information requests. In addition, the Administrative Associate III is expected to take the initiative to develop and improve administrative support systems within the College.
Upon completion of training, the incumbent will have a working knowledge, skill, and ability in:
Navigating Banner, UMDW and Grizmart, i.e. print reports and transcripts.
Knowledge of UM travel authorization and reimbursement policies.
Working independently and proactively to solve problems that arise.
Required Skills

Ability to learn Moodle, Banner, UMDW and InfoGriz.
Ability to research and compile data in support of departmental programs.
Ability to maintain confidential records and adhere to FERPA requirements
Ability to help prepare annual departmental budget, monitor expenditures during the fiscal year, budget oversight
Knowledge of purchasing including use of University issued Procard and Grizmart
Knowledge of departmental, University, Federal and State financial policies and procedures, including recordkeeping.
Ability to reconcile and resolve bookkeeping transactions in conjunction with FCFC Accounting staff.
Ability to maintain bookkeeping records, identify errors, and interpret solutions.
Ability to use a University issued Procard to purchase departmental supplies, plane tickets and supplies for PI’s, and pay other FCFC related bills.
Knowledge of or ability to learn how to use Grizmart and run Banner budget related inquiries and transcripts, etc.
Working knowledge of, or ability to learn the web content management system.
A high level of professionalism and the ability to represent FCFC programs to multiple audiences.
Preferred Qualifications
High school diploma and at least three (3) years of related experience or an equivalent combination of education and experience required.
