UPS is seeking a dynamic Part-time Plant Engineering Administrative Office Assistant to provide administrative and office services for multiple supervisors/managers. He/She will utilize and exhibit reporting skills, internet research skills, professionalism, processes management, information analysis and inventory control.
Responsibilities and Duties
Fields telephone calls and arranges callbacks to protect management time
Screens calls and send calls elsewhere as needed
Screens visitors to control interruptions
Provides backup data for future meetings
Reviews employee timecards for accuracy, inputs work hours to ensure correct payroll
Prepares reports by analyzing data
Maintains cost control logs and updates cost plans
Updates insurance and control certificates to ensure compliance
Coordinates projects to relieve management of administrative duties and keep projects on schedule
Ensures operation of equipment by completing preventive maintenance requirements and calling out for repairs
Maintains inventory of office supplies by checking stock, anticipating needed supplies, and verifying receipt of supplies
Provides supplies in hub as needed
Dispatches mechanics, porters, and contractors
Knowledge and Skills
Engineering background and working knowledge of mechanical items
Excellent oral and written communications skills
Excellent time management skills and ability to meet deadlines
Must be self-motivated to work in an unsupervised environment
Perform chemical and mechanical inventory
Software skills needed
Microsoft Project (project scheduling)
I-Procurement
Microsoft Outlook
Microsoft Office (Word, Excel, PowerPoint and Access)
Adobe Acrobat
MAXIMO
Auto-Cad - Preferred
