Said Business School are recruiting for an Executive Assistant reporting into both the Associate Dean of Research (ADR) as well as the Director of Marketing and Communications (DMC) and split their time 50:50 (with some flexibility).
This is an exciting opportunity for you and in this role you will have general responsibility for the administrative support of each Department, including some management of financial administrative activities in accordance with University financial controls.
The current ADR is also the L’Oréal Professor of Marketing, so the role would suit an experienced candidate with an interest in marketing or a candidate who may be considering pursuing a career in marketing at some stage.
The Central Marketing and Communications team is a busy department supporting student recruitment, building the reputation of the School through its research and impact, managing digital communications channels as well as running a wide variety of events and webinars.
You would be required to help with the administration of a portfolio of marketing related activities as well as organising team meetings, raising and processing purchase orders and invoices plus other general duties.
The ADR requires support in receiving visitors and organising and servicing meetings as well as diary management, managing travel bookings and other administrative duties associated with an Executive Assistant (EA) role.
You will develop positive working relationships with colleagues in the Dean’s Office, wider School and Division, as well as key external contacts.
To be considered for this role you should be experienced in managing administrative processes and customer facing work including processing invoices for payment and dealing with suppliers.
It is important that you show excellent attention to detail and have a methodical approach.
You will need to have the ability to organise own workload and to work to deadlines and show evidenced work experience at a similar level.
You will be required to work independently, with minimum supervision and show a willingness to resolve situations, as well as knowing when to refer issues to others.
You will need to be capable of organising events and make the necessary administrative arrangements.
You must have experience in setting up Zoom and Teams meetings as well as associated breakout and polling functionality.
