Job Description:

What’s the role?

You will provide support and act as single point of accountability for all administrative matters related to the VP Legal Australia and provide administrative support to team-wide activities.

Your responsibilities include:


Assist in the co-ordination and preparation work for meetings. Manage appointments to aid in carrying out duties efficiently and effectively.
Process expenses, including validation and correction of discrepancies prior to VP Legal’s approval. Coordinate the VP Legal’s travel and accommodation bookings, meeting room bookings, car hire, catering bookings and prepare expense and credit card claims.
Maintain and monitor email distribution lists. Handle correspondence and redirection when VP Legal travels/in meetings, alerting any item(s) that requires immediate attention.
Manage office administration matters (including office space management) and ensure smooth running of the department/facilities in a cost efficiency mindset, and where possible, investigate waste and challenge the need to spend.
Administrative support for events management including workshops and stakeholder meetings. Source and provide information from various supports when needed.
Document Management: assistance with saving of documents into shared drives. Train and support the Legal team as required with SAP, IT issues, Sharepoint, information management.
Responsible for the agreement control form mechanics and for final steps in processing entries, including document archiving. Assist the business with docusign.
Assist with administration of key projects, including direct support for project leaders. Provide administrative support in relation to co-sec services.

Work to improve administrative process and share views and ideas with colleagues in other areas of Shell. Work with other management assistants to cover then they are on leave.


What we need from you

To succeed in this role, you would have:


Demonstrated experience in administrative roles in an office environment
Excellent computer literacy, SAP experience; Good computing skills – Microsoft Office, and ability to quickly assimilate to new electronic management systems
Excellent verbal and written communication skills, high level interpersonal skills
Excellent attention to detail, flexible approach to fulfilling a broad range of administrative activities
Highly organized with excellent time management skills, ability to work with deadlines
Results orientated and motivated achiever; professionalism, enthusiasm, and willingness to learn; with demonstrated commitment to safety
Ability to work without supervision, displaying initiative and capacity to exercise good judgment, strong analytical and problem-solving skills
Highly collaborative, with an ability to work well within a team environment, ability to interact with multidisciplinary teams


The successful candidate should be an Australian Citizen or Permanent Resident.
