Job Description:
What’s the role?
This position sits within the Process Development department but supports the senior leadership of the Chemicals, Downstream Process and BioTechnology VPship in Project and Technology (PTX) located in the Europe region.
The successful candidate will report to a large program lead in Amsterdam in the circular and bio space and will have activities supporting the GMs in the Netherlands and the United Kingdom as well as the Leadership Team for the VPship globally.
Depending on the scope of projects, accountabilities can include:
Perform independently business support activities
SERP Time writing and Concur/ Expenses 1st line support - general/ basic issues/ ‘how-to’ questions, ensure compliance and end of month corrections
Usage and administration of departmental credit cards for defined procurement
Staff on boarding/off boarding. Ensure the exit procedures will be observed etc.
Booking complex trips visas
Management of on- and off-site workshops/conferences, meetings, events including researching venues, negotiating with third parties, costing activities, full administrative responsibility before, during and after the event
Coaching staff with administrative tasks. This will include use of the available self-help tools (e.g. Book-it, SharePoint). Ensure compliance
Document Management: Prepare business documents using Shell templates, download/upload files in SharePoint
Provide support in managing departmental SharePoint sites and compliance with Records Management policies
Create communications for staff
Office Administration: Provide general admin support where applicable, i.e complex/large scanning, printing, reproduction, binding, typing, faxing, ordering, shipping
Support and maintain workorders in contractor management system.
What we need from you
Relevant work experience in a similar role
Proficient with standard office software; including Excel, Word, PowerPoint, Outlook, SharePoint, Teams
Solid experience with the various digital tools/systems
Organization skills and capable of developing business intimacy/knowledge
Flexibility, positive attitude, customer focus with the confidence to coach and guide staff on correct procedures
Ability to work across teams
Ability to be proactive and identify areas for enhanced support and business improvement
Work for the good of the team, support other team members to deliver
Take personal accountability to ensure timely delivery of commitments
Ensure compliance with work process, such as timewriting and onboarding.
Apply and encourage best practices globally across the organization and provide suggestions for optimizing to get things done more efficiently
Complying with processes and procedures while safeguarding the relations with technical staff
Dealing with multiple competing priorities and tasks
Learning mindset, natural curiosity, and passion for continuous improvement
