HTTS is seeks an experienced legal secretary. The position requires superior organization skills, attention to detail and the ability to go with the flow when needed. See below for a more detailed description of the job. Many of our secretaries (call it what you want, assistant, secretary, practice assistant) have been here in excess of 20 years. Assist lawyers and paralegals with various administrative responsibilities including the following: Typing and filing of documents.
Answering telephones and emails.
Time Entry (where applicable).
Document creation and production.
Maintaining calendars and scheduling.
Faxing and Scanning.
Organize and maintain client files (paper and electronic).
Schedule and make appointments, keep abreast of important deadlines.
Review new client matter forms, submit to administration for processing.
Maintain client lists, billing files and lawyer working files.
Ability to communicate effectively orally and in writing, including communication with attorneys, paralegals, staff, clients, opposing counsel, judicial personnel, vendors and other third-parties.
Qualifications:
Comprehensive computer skills, including: word processing, spreadsheets, presentations, document management, time and billing, calendar and docketing, transcription, desktop publishing.
Strong analytical and writing skills, including drafting routine correspondence and file memos, as well as proofreading legal documents and correspondence.
Highly organized, including maintaining client files (paper and electronic), project management, tracking multiple deadlines, maintaining calendars, and organizing client and other attorney meetings. Must be pro-active and able to think independently.
Familiar with attorney's practice areas. Asks pertinent questions generally and especially when unsure of attorney directions or deadlines.
Pays strong attention to detail, especially with written and oral communication, client deadlines, and file organization.
Excellent client service and listening skills.
Able to work with diverse personalities within various levels of the organization.
Exercises sound independent judgment under minimal direct supervision, yet works as part of a team. Collaborates with co-workers and third parties.
Flexible demeanor; adapts well to changing priorities and work-load demands.
Has a strong work ethic, discretion, and good judgment; maintains professional demeanor.
Physical Demands:
Sitting for extended periods of time, standing, stooping and reaching.
Visual acuity and manual dexterity required to operate computer.
Range of hearing and vision sufficient to operate standard office machines and communicate with clients in person and via telephone.
Must be able to lift up to 20 pounds.
Manual dexterity enough to operate standard office equipment such as computers, fax machines, calculators, telephones, etc.
Working Demands:
Normal office environment.
Occasionally subjected to pressure due to time demands.
Potential for visual fatigue due to frequent computer operation.
Sometimes called upon to work in excess of 35 hours per week.
