Under the supervision and direction of the Chief Talent Officer, the Talent Management Coordinator (“TMC”) will provide administrative and operational support in furtherance of attorney and paralegal recruitment, onboarding, professional development, training, diversity, equity & inclusion and practice management initiatives. The TMC will work collaboratively in a team environment and will interface with all levels of attorneys, staff and outside vendors.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

Recruiting

Assist in coordinating all aspects of lateral and entry-level hiring, including scheduling inoffice interviews, communicating with candidates about logistics, processing expenses/reimbursements for candidates and attorney participants, greeting/escorting candidates as necessary, soliciting comments from attorney interviewers and sending offer/rejection letters.

Assist in coordinating all aspects of the Summer Program, including scheduling orientation meetings, planning and executing social events, maintaining program calendar, collecting evaluations, scheduling mid-summer and final evaluation meetings, monitoring work projects and assignments, and sending offer/rejection letters.

Work closely with the Human Resources and other administrative departments to ensure that all new hire paperwork (e.g., background checks, conflict checks, etc.) is completed and submitted for all summer, fall and lateral candidates.

Coordinate all aspects of the orientation/onboarding process for new attorney and paralegal hires.

Maintain recruiting database (viRecruit), including entry of resume data, on-campus

interview information, interview schedules, and reporting for all summer, entry-level and/or lateral candidates.

Professional Development & Training

Assist with the administration of attorney and paralegal evaluation processes.

Coordinate all logistics for in-house training programs, including scheduling, securing of meeting rooms, meeting room preparation and on-site coordination.

Responsible for the overall functioning and accuracy of evaluation databases (viEval and viRTF):

Produce appropriate reports

Manage and update all automated forms and templates

Provide technical support and resolves viEval and viRTF issues for the department

Provide training to other users as needed

Maintain CLE database (viLMS CLE), records and reports to ensure the firm and its attorneys comply with CLE rules and regulations.

Generate CLE forms for external and internal CLE programs, including sign-in sheets, evaluations, remote attendance and other as needed.

Assist with promotion of CLE subscription services and in-house CLE programs.

Liaise with preferred providers, including Practising Law Institute (PLI) on attorney roster and program requests

Arrange for programs with third-party vendors (e.g., ABA, MCLE, and local bar associations).

Attorney Relations

Develop relationships with associates in order to serve as a resource for questions regarding their individual professional development

Assist with the development, implementation, and coordination of associate development initiatives and morale events, whether in-person or via WebEx/Zoom

Maintain records of mentor/mentee assignments.

General Administration

Answer phones, process expenses, open and distribute mail, copying, filing, scanning, and other administrative duties as requested.

Assist with the annual budget preparation and monthly monitoring of accounts, anticipates and resolves discrepancies, handles related payments, reimbursements, and issues.

Draft, edit, and upload content for the Legal Talent Management intranet page.

Handle additional related projects as assigned.

KEY COMPETENCIES:

Communication Skills:

Must possess superior written and verbal communication skills, editing, research and proofreading capabilities. Ability and willingness to listen and influence.

Must have the organizational skills, time management skills, flexibility and creativity to respond productively to a variety of requests and assignments under tight deadlines. Ability to manage competing priorities in a fast-paced, demanding environment.

Flexibility:

Must have the flexibility to work additional hours and travel as needed.

EDUCATION/EXPERIENCE:

Bachelor’s Degree required.

3 years of working in a law firm environment, preferably in Legal Recruiting and/or Professional Development.

Experience with viGlobal and Micron products.

Advanced computer skills in Microsoft office products (Word, Excel and PowerPoint).

Advanced skills in working with document management systems and databases.

PHYSICAL DEMANDS:

Employee must be able to sit for long periods of time at a desk or table. There is the need to frequently walk to other offices located on other floors. May require the ability to frequently climb stairs. There will be a moderate amount of standing, stooping, kneeling, bending, lifting and reaching for some of his/her job duties.

Visual requirements include reading off a computer screen as well as printed materials. A high degree of dexterity is required due to frequent use of a telephone console.

Verbal and auditory requirements include the ability to communicate clearly over the telephone as well as in person.

There is a moderate level of grasping, lifting, pushing and/or pulling of objects of less than 25 lbs.
