Chun Kerr, LLP, serving Hawaii since 1970, is seeking a Transaction Legal Assistant to join their busy Transaction practice group. The transaction legal assistant will be responsible for providing support to the attorneys/transaction group throughout the lifecycle of a commercial or real estate transaction. Duties are primarily assigned in the transaction area but may also be assigned by other practice groups.
Essential Duties and Responsibilities:
Secretarial and clerical support:
Support assigned attorneys and paralegals by scheduling meetings, maintaining calendars, handling incoming calls, corresponding with clients, booking reservations and travel, greeting visitors, etc.; proofread, edit and format legal documents, forms, or correspondence.
Document management:
Organize, file, scan, and/or destroy client and other legal documents to maintain ready-retrieval, efficient storage, and confidentiality through use of relevant Firm systems.
Practice management:
Enter, manage, or otherwise maintain all client, matter, and contact details in the relevant Firm systems; gather information to setup new client matters, perform background and conflict checks, and prepare engagement and closing letters.
Case administration:
Create and maintain transaction list(s) for client matters by coordinating the maintenance of files and records amongst the team members, maintaining a list of relevant case contacts, and tracking key project dates
Client billing:
Support timely and accurate expense and time entries; support the client billing process for assigned billing attorneys.
Filings and recordings with government agencies:
Oversee and coordinate filings, including e-filings, with Federal and State courts and agencies; facilitate communication between and amongst key parties in order to meet deadlines and complete filings.
Documentation preparation and modification:
Prepare contracts, deeds, lease agreements, certificates, loan and closing documents, etc. by creating shell documents; correct or modify documents, including title reports and surveys, based on attorney direction.
Research:
Research persons, entities, and recorded documents online, at various agencies, and at non-firm offices (e.g. State Archives, etc.).
Entity registration and other applications:
Register entities by completing and filing documents, forms, charges, provisional charges, etc.; prepare applications and other forms required for the transaction and client.
Ideal Qualifications
Bachelor’s degree or equivalent combination of work experience and education
3 years’ experience as a legal assistant or legal secretary, preferably in a commercial real estate practice in Hawaii
Familiarity with legal procedures and protocols, court rules, and filing procedures, preferably in the Hawaii legal system
Experience preparing and/or revising legal documents and forms
Keen eye to detail with a strong ability to proofread legal documents
Exceptional written and verbal communication skills
Excellent organization and time management skills with the ability to prioritize multiple tasks, meet deadlines, and be resourceful
Builds rapport and collaborative relationships within the Firm and with clients
Adapts to changing priorities in a fast-paced environment
Takes initiative; adopts the client-focused philosophy of a problem solver
Proficient in Adobe Acrobat and Microsoft Word
Experience with practice management software, document management systems, and court filing systems
Experience as a paralegal or with a paralegal certificate from ABA-approved program
Experience with Coyote Analytics and Worldox
Project management experience
